How to set Permission to a form

Posted on by 645

Hey, I'm working with mscrm 2016 and I need to restrict a form to a specific team, after googling a little I found that it's impossible and I need a security role for that matter.

So I have some questions pop up while working to restricting a form

1. When I tried to connect my security role from business unit A - I choose the form that I needed and then choose Assign Security Roles , all the security roles I got were from business unit B, is there a rule about that?

2. Is it possible to restrict a form to a team ?

other options will be great!

thanks

RE: How to set Permission to a form

    Hi Sahara ,

    1. When I tried to connect my security role from business unit A - I choose the form that I needed and then choose Assign Security Roles , all the security roles I got were from business unit B, is there a rule about that?

Yes this is due to your security roles belongs to specific child business  unit. Move your security role in root business unit , or maintain parent child business unit and assign to parent business unit . So that security role will be accessible from any business unit(For root) and child business unit (For Parent Child case). When you are creating any business unit its automatically create an business unit team , so I would recommend to create new team belongs to root business unit level.

    2. Is it possible to restrict a form to a team ?

Once you define your security role and team in root business unit . You just need to add the security role to the team and then enable form level security.

    Hope this helps.

Out of the box this is not possible. but you can achieve it using plugin. Create a plugin on RetrieveMultiple message on  UserSettings entity.  In plugin you can filter entity form from UserSettings based on the user team.

You can maintain a entity to maintain form and team configuration so that you can easily configure it without change in plugin code.

Let me know if you need more details.

Hey Pedro thank you, I tried to do that but when I want to choose a role from my security role it only shows me roles from my top (first root) business unit 'A' and not from the specific business unit 'B' (B is the son of 'A', one level under 'A') I can't get security roles from that specific business unit (B) get security role only from HEAD business unit.. why is that? I hope I was clear..

    Hello Sahara,

You need the security role for that matter.

The option i usually do is to have a security role, even without roles, and assign them to the Team.

Then, on the form, with the Assign Security Roles, i assign the previously role for that specific team.

    Cheers!
