Line item comments SOP Forms: Quote, Packing Slip, Picking Ticket, Order, Invoice

Posted on by Microsoft Employee

I have a client who needs to be able to supply and print a comment for line items entered in the Sales Transaction Entry Form.  I will need to modify (another issue) the forms, Standard and Word Template but I do not know where to find the line item comment.  I found the Comment ID field located at the bottom left of the form in Table IV00106 but it is not the comment for the line item, the last line item comment made here overwrites previous line item comment.

On the form is a comment icon that appears to be for the line item.  Is this what I think it is intended for, where is it stored and is it available for all SOP forms.

    Rosemary,

Some of this applies to other modules, but not all. The only windows that really have a lot of comments are POP windows. Maybe this will help:

Does this apply to the comments and notes in the other modules, and would you have a listing of the respective tables.

Our AP people were looking to put in notes which can be accessible via the Smartlist.

    Hi Phil,

Good to hear that you got your answer. I misunderstood your post and thought you were looking to attach the notes to the line items.

Thanks, victoria for a writting in detail.

    Phil,

You've got a lot of stuff going on here, let's go through them one at a time.

    1. The note icon next to the Item Number on your screen shot actually goes with the ITEM. That is found in the SY03900 table, linked to the NOTEINDX in the IV00101 table for that Inventory Item Number.
    2. The note in the upper right corner of your screenshot with the question mark is a window level note. That will be the same every time you open the Sales Transaction Entry window. That's stored in the SY00700 table.
    3. The Note icon to the right of the Comment ID at the bottom of your screen is the note for the Comment ID if you happen to enter one there. That's stored in the SY03900 table and linked to the NOTEINDX for the Comment ID in table SY04200.
    4. The blue arrow to the right of the Comment ID at the bottom of your screen is the 'transaction level comment' - this will be one per transaction and is stored in the SOP10106 table.
    5. The line item comment (which I believe is what you're actually looking for), as you say in another post is actually on the Sales Item Detail Entry window. It is opened by clicking the blue arrow to the right of the Comment ID. That is typically referred to as the 'line comment' or 'line item comment' and is stored in the SOP10202 table.

    Hope that helps.

    Hi Phil,

I nuked my last install of gp at home so I can't give you screenshots at the moment.

What you want to do is enter a line item and then click the arrow pointing right one over from your top left circle. From there you will have another area to add comments in the bottom left hand corner of the window that comes up. These will be line comments that print below the item.

    Regards,

    Kirk

    Thanks Shan,

I found out that to access the comments for each line item that I needed to highlight the item, then click on the blue arrow to the right of the note icon.  This brings up the line item details, then click on the Comment ID for that window and you can assign line item comments.  Thanks for your respond and added info about Table "SY03900".

    Hi,

The highlighted section on the Sales Line is called as "Notes". The note index id is saved in the Sop line tables where as the actual value is saved in the Notes Master "SY03900"

The comment is actually for the particular Sales Transaction.

In order to display the notes on the Report Writer reports, use the build in RW function "RW_GetNoteText()". Refer the link provided with example for displaying notes on the report.

Refer the below link, It gives a clear understanding about the note functionality:
