Hi Experts,

I have a case where I need to route each PO lines of one PO to different approvers based on cost centers. There are two scenarios:

All 10 PO lines routed to 1 approver. (1)
Each approver will need to approve 1-2 PO lines. (2)

The second case is that, 1 PO can buying for different purposes, so it need to go through different approvers. However, what if all 10/10 lines or 9/10 lines needs approving by only one approver? Does the system support to approve these line at once.

Hi,

Yes, this scenario is supported using Line-item workflow for Purchase Orders in D365 Finance and Operations.

To achieve your use case:

Use Purchase Order Line Workflow instead of the header-level workflow.

Set the workflow condition based on the financial dimensions (e.g., Cost Center) on the PO line's accounting distribution.

Each line can be routed to a different approver depending on the cost center. For your second question:

If multiple lines are assigned to the same approver, I think so the system groups them, and the approver can approve all lines in a single action, without needing to approve them one by one. But you need to check this, ill go through myself too.

Hi Zain,

Yes, I have already config the PO line level workflow.

However, I see nowhere to approve all lines in a single action.

Hi,

Workflow will assign "Work Items" to approvers. When you explode PO into PO lines for approval, the individual lines become different approval work items.

In User Option, a user can "Group" the line notifications to reduce the number of notifications. But he or she will still be required to take action on the individual work items.
