CRM Opportunities - Need Checklist

(0) ShareShare
ReportReport
Posted on by 215

Hi:

We're running CRM 2011 and create opportunities, which have 18 steps in the sales process -- they are NOT sequential, so this creates a long checklist of items to complete before the Opportunity (Deal) is 'SOLD'.

We need a way to track each Opportunity and see if/when all steps are completed  --  can we:

  1. Create an Opportunity, then:
  2. That Opportunity creates 18 steps automatically (perhaps as Tasks or Activities) and:
  3. Create a report, which might look like image attached:

This example only shows 10 Items, but you get the idea.

Thank you for your advice/guidance  --  Any help would be appreciated.

      Hi Scott,

In order to create a matrix like this, you would need to do a custom report; however you could do a lot with dashboards.  You could definitely have workflow create the 18 tasks--you may want to create a custom field on the task with your specific task name/number that the user cannot change so that you can filter/group by/sort on that field.   Then you could definitely show the tasks in a sub-grid on the Opportunity with a chart that would show percent complete.  Then of course you could roll-up the data to a dashboard.

Thank you very much Gretchen  --  I am quite the beginner and have yet to create workflows with multiple tasks  ...

The video I found on 'resources' only creates an email from a contact  ...  would you happen to know of a (video?) resource for creating this type of workflow?

      Thank you again,

      Scott.

      Hi Scott,

I don't think you will find a video with that detailed of a use case for workflow, but you might consider taking a class or getting some training from a partner.  We have a training coming up in Minneapolis Sept 27-28 on Administrating CRM, for example.

Since you are learning, here is a blog you might find helfpul on getting started with CRM.

Also, here are some places you will find a large repository of videos.

      Hope this helps!
