New Account Framework to accommodate a new database

Hi

I am trying to create a brand new company database with a framework of the basic 5 segments with 9 characters each.

The company currently has a global framework in their DYNAMICS of 3-5-3, used 3-4-3.  Now they want a total revamp and they wish to have it as 3-5-4-3.  They do not wish to use the PSTL or Account Reformatter as they are revamping all their codes.  (GL structure, AR, AP codes etc)

As such, the game plan was to recreate DYNAMICS with the new framework of 5 segments.

Populate the MC tables so the old database can access MC rates for historical viewing.

The intent is to have a brand new DB and retain the old only for reference.

Based on my limited understanding of global framework, can I create DYNAMICS, then the database for the old company and then a new company (new framework)?

I then restore the existing DB in the environment (3-5-3 will fall within 9-9-9-9-9).

We tried but encountered errors. The smartlist does not show the accounts code and the Financial cards are blank.  The RM & AP cards are intact.

Error Message: "A get/change first operation on table 'GL_Account_MSTR' failed accessing SQL data."

When I create a query for COA with smart designer, the accounts codes can display.

Can someone advise if:

a) my understanding of the global framework needs correction?  Am I right to assume it should work?

b) If (a) is right, what other steps should I take?  I tried checklinks - it showed no errors.

The tools-utilities-system-reconcile-account format setup returned the same error as above

Error Message: "A get/change first operation on table 'GL_Account_MSTR' failed accessing SQL data."

But when you click ok, the report says no errors.

Thank you in advance for anyone who can guide me on the next steps.

    They can still start over with a 'fresh' database even when using Reformatter. After the Framework is changed, you can use the PSTL tool if they want to remap their existing accounts. You could create a new company to hold a copy of the old company as a backup and change the account format of the current company.

    Will tell the client to seriously consider Reformatter, or print pdf for their own records of historical years if they insist on starting anew.

    Hi,

    As others have said, your client would be far better off to get the Reformatter software and do it correctly. They will spend much more money trying to trick the system or change everything they need to change than they would by just getting the software and using it. I don't know how much it costs, but the consulting fees are bound to be much, much higher.

    You could go the route of having 2 SQL instances, one for the old account framework and one for the new account framework but that could be in violation of your license agreement for Dynamics GP.

    If it were my client, I would push hard and say for what they want to do, best practices dictate that you use the Reformatter tool from CRG to achieve the end result.

    Maybe someone like David Musgrave or Mariano Gomez could weigh in on this as they are very knowledgeable on the backend of Dynamics GP.

    Thank you for your recommendation. We did suggest Reformatter, but the client wanted a fresh Database.

    Given this restriction, is there any other way or do we need 2 SQL instance?

    The more info on this error message is below:

    It appears that the database require 2 more segments because the original company database has only 3 segments.

    Is there a possibility to go along this line, example a SQL script?

    Hi Slc

    You cannot drop a company database that was created with the first account framework (3-5-3) into another environment where the account framework is (9-9-9-9-9).

    The correct way would be to purchase the CRG Account Reformater by Corporate Renaissance Group (available from your partner) and reformat your Dynamics database and the company database. This is an excellent tool and I have used it many times.

    This way you can retain the existing company for historical purposes, create a new company for your needs and also the Dynamics database will retain all of the user setups, security , currency settings etc and will not have to be configured.

    If you were my client this is the path that I would strongly recommend.
