I am a new GP user and have been tasked with the budget. Currently, the payroll office is charging individuals to one specific department even though they may need to be split across multiple. Initially I believe they were told that you could not do it. Is that the case or is it possible with a particular "add on" module? I have done some research and apparently Microsoft GP Advanced Payroll has a split maintenance function that I believe would handle it. I just want to be sure it isn't possible with what we are already paying for.

I have the same question (0)Hi Duett, you have a couple options that you can investigate to resolve this. Typically the goal is to accurate reflect the payroll costs in GL, subsequent financial statements and so on.
The option that you have without purchasing an additional product is to use an allocation account on the financial side of the system. I have heard of several employers doing this, but the downside is that you then have payroll data and financial data telling two different stories. In addition, it can very easily end up being either widely inaccurate or maintenance intensive to keep it accurate.
The second option is the Auto-Split feature in Advanced Payroll (a component of the HRP Extended Pack available from Microsoft). This provides for relatively simple splitting capabilities that happen on the payroll side - then also translates through to posting costs correctly on the financial side. Here is a screenshot:
The third option is an add-on product from Integrity Data (for whom I work) called Employee Accounts & Splits. Here is a link to more information: https://www.integrity-data.com/software/employee-accounts-splits/. The primary difference between this and the Auto-Split feature above is that the Employee Accounts & Splits product offers additional options and flexibility for how you split costs. For example - you may need to split to a specific GL account rather than across departments. Here is a screenshot:
I hope this is helpful, but if you need more information on either option, feel free to give me a call at 217-689-4655 or shoot me a note at dwdoolin@integrity-data.com.
