Send email as another user? Need both setup in security role and user settings?

Hi,

I have several workflows that send email on behalf of users (Using created by as from and owner as to)

But im getting the error with "you cannot send email as the selected user. The selected user has not allowed this or you do not have sufficient priviliges to do so"

1) I have configured the users security role to allow "Send Email As Another User". I thought that was fine...?

2) But do I also need to change each users personal settings to "Allow other Microsoft Dynamics CRM users to send email on your behalf"? I know I can do this with XRMToolbox. But I really wan't to avoid this step. Is that possible?

    There is no global option to do this as per some other system settings (date format, number format...).

    You have to do it for each user whether it is already existing or newly created.

    Please follow Kokulan suggestion to do it using XrmtoolBox rather than opening/asking each user to do it

    Hi

    No you cannot set this as a default setting as its related to Privacy issues. User will have to consent to say that others can send email on their behalf.

    However, we always have scenarios where we need to update all the users with this settings and for that you can use User Settings plugin in XrmToolBox

    Please see below for detaills

    01. Download the XrmToolBox if you dont already have  from the following link

    02. Open the User Settings Utility (if its not there in the list, you can install from Plugin store) and Connect to CRM

    03. Click on Load User Settings,, Check All users and change the setting and click on Update User Settings

    Hi all,

    Thanks for your answers. So there is no way of doing this without changing each users personal settings? maybe when the user is created the allow send email checkmark is automatically set to yes? (Manually I can change it with XRMToolbox - but then I have to remember this each time a new user is created - and that will be forgotten :/)

    I have set up, so when a task is created, then the mail is send to the task owner (The user that creates the task will change the owner to the user the task is assigned to)

    Hello ,

    that error which you are getting because of mail box is not configured for the users.

    Mail box configure (means "Approve mail box" from mail box window)  can be done through  global administrator , so i don't think so it could be doable from XRMtoolbox

    Hello,

    If the user didn't allow this option, other users will not be able to send email on his behalf.

    This is the purpose of this option and it is related for security reasons to prevent other users from sending emails on behalf of other users.

    I never tried but as per this you must be able to do with administrator account- community.dynamics.com/.../274673

    You are correct. To be able to use this both permission "security role" and personal settings is necessary.

    and an administrator doesnt have a way to change it for all users at once.  You will have to user the xrmtoolbox.
