Hai Dudes,

I have a new question for you. That is  I need visitors report from my sales persons. ok I explain my query with one Eg. I have a sales person Nirmal. He going to visit one new customer Eg Skyweaves . Skyweaves is a new customer. So  Nirmal visit that new customer on 10-6-2015. But at that day he didn't get any order from the customer > But Nirmal will discussed about our product and and got appointment  for next meeting   on 17-6-2015. So Nirmal want to submit his visit report to owner through crm. That is he went and saw the new customer Skyweaves on 10-6-2015 and discussed about the product and got appointment for next meeting on 17-6-2015.

Again Nirmal going to see the Same New customer  Skyweaves on 17-6-2015 and Discussed about the products of my company . But he didn't get any order from that company. But he got next meeting on 25-6-2015.so  what and all he did with that new customer on that day(17-6-2015) want  to  report his owner through crm .

Like wise he Continuously follow up the customer for  6 months Because there is chance to get new order from new customer upto 6 months. so the Sales person Nirmal continuously follow the customer  and want to submit his activities of every meeting to owner through using crm then only owner can ask the sales person the reason of delaying order.

This is my eg and my query. How can i do this in crm .  I am waiting for your reply dudes,,

 Thanks..

    Hi Sneha,

You can create a custom entity (say "Customer Visit Report"). You can then add a new look-up field (say "Customer") to associate this this record with the Customer record. You can add other fields to the custom entity to store the visit details as required. Use the appointment entity to record the appointment details only and link the appointment to both customer and the custom entity record.

My suggestion is you can use system entity.

First you create contact for Skyweaves , You can specify Contact person details in contact.

You can create appointment type activity for every meeting. The appointment  have description field , where you capture meeting details. and  you can mark completed it. For future meeting you can create appointment with future date.

The advantage of  appointment  is you can tag it with agent calendar. Agent can see all future appointment in own calendar.

You can also send reminder mail /sms to agent before a week or day.

You can also create a report agent wise appointment or contact wise appointment . It is simple report you can create with help of  crm report wizard.

To create a custom(that is new) entity in CRM, you need to have System Administrator or System Customizer security role. Navigate to Settings >> Customizations >> Customize the system. Then, create new entity. Save and publish the entity. Create new fields as required and add them on the entity form. Save and publish the changes.

I would use Appointments and add additional fields to that.  Save the salesperson having to do anything special - they can just update their Appointment record.

Each Appointment record could capture all of the details for each visit.  You could have a special field that you ticked to indicate that this appointment included a Visit Report.

You could then create an Appointment view  e.g. called 'Visit Reports in the past 3 months' to show all the fields you want to view.  You could filter the view to e.g. only show appointments that had Visit Report = 'Yes' and Scheduled End Date was in the past 3 months (or whatever timeframe you want to display).  I would sort them so that the most recent appointment was at the top of the list (scheduled end date descending).

I would put a sub-grid on e.g. your Account (or Opportunity if you have linked them to an opportunity) form view so that you can see the list of associated appointment records.  I would default the list of Appointments to your Visit Report list view.

You can create an  appointment , set owner of that. Go to calendar (marketing>calendar) you can find appointment there. It is automatically.

For reminder, on creation of Appointment you trigger a wf (async).

    1-wait until (selected date time).

    2- check appointment is active

3- Send email to owner of appointment

    4- Success.
