Backdating Physical Inventory

I have a customer that couldn't get scanners until now.  They want to do a physical inventory for year-end.  Is there a way to configure the dates so it looks at inventory on 12/31/19?

TIA!  :)

I have the same question (0)

    RE: Backdating Physical Inventory

Hi!  Are they using RMS HQ?  Otherwise, there is a "set date" option when doing a physical count in RMS but you'd have to look at other factors like product sold between year end 2019 and now as I believe that using "set date" would look at quantity on hands against quantity counted as of the "set date" and the actual current quantity on hand. If you go that route - I would test it first using a backup of the existing database and just counting a small sample of items from a specific department or category.  Might also be possible to some sort of database backup - count - update - import/restore but we are starting to get to the point were it might be getting somewhat convoluted?

    Hi eBank,

Kevin is correct in stating that you could set the Count date option when performing a Physical Inventory; but this is normally used when you will be Calculating and committing the physical inventory at a later date.

Performing a count now, and then backdating the date, would probably cause a discrepancy for any items sold between 1/1/2020 and the date the count was actually made.

    NOTE:

Mainstream support for Microsoft Dynamics RMS 2.0 ended on July 10, 2016; and extended support ends on 7/13/2021:

Thanks for the replies Kevin and Todd!

    Not running HQ.

So, the delta date doesn't factor in (or out in this case) the changes in inventory?

    RE: Backdating Physical Inventory

    Hi eBank,

The delta date does factor in the changes in inventory moving forward.

For example, if I count 10 on 12/31, and sell 4 on 1/1, and Calculate and post on 1/2 (with a counted number of 10 and a count date of 12/31) the system will see that there are only 6 in inventory but know that 4 sold between the count date and the calculated date. Therefore, there should be no discrepancy.

I tested trying to back date the Count date, on a new Physical Inventory Count, but the system throws an error:

Therefore, the system will not allow you to put in a count date of prior to when the Physical Inventory Count was created.

Please let me know if you have any questions.

    Thanks for the Reply, Todd.

It's weird that you got that error, because when I tried that, it went in fine.

I think I'll try it after a database backup.  If it errors out, I will just restore the db and go from there.

They took year-end numbers.  The accountant should be fine with that from my experience, even with a full inventory a little over a month after.
