Auto follow-up task workflow not working for all users

Posted on by 30

Hi

I have created a workflow similar to this (https://www.powerobjects.com/blog/2012/09/20/how-to-create-automatic-follow-up-activities-in-crm-2011/) that will create a follow-up task in Outlook whenever we set a closing date for the opportunity or lead. Scope is set to organisation.

The problem is that it works every time for me, but only sometimes for my colleague. When it does not work for my colleague, the workflow either does not create a follow-up task or the follow-up task looks like it was created by me (which it was not).

What seems to be the problem here?

Thank you.

    Hi

No, I have not tried it yet. At the moment, the workflow is set to "run in background (recommended)" with "Scope" = Organization.

    Hi,

Do you have the workflow execution context as "User who made changes to the record" - refer Kokulan's 1st screenshot

    Hi Sreevalli

    Thank you for your question.

We are all in the same timezone. But I am running the CRM system in Danish language (which is the system settings) and my colleague has English as his personal language setting - if that helps?

I believe my colleague meets all the criteria. When my colleague sets a closing date (which triggers the workflow to create a follow-up task in Outlook), a task is created (as an activity) but my name appears to have created the task when looking at the timeline for the opportunity/lead...

    Hi,

Just curious, does all the user you are talking from the same timezone, and met the criteria everytime?

    Hi Kokulan

Thank you for your quick response.

Ok, I will try converting into Real-Time. The process session only shows running the workflow when the workflow was triggered by me - not by my colleague. But unfortunately I cannot find the log of when the workflow worked for my colleague (they have been deleted automatically).

How can I verify if my user is working offline in the App for Outlook Dynamics 365 (which we use)?

    Hi

A background workflow will always work in the context of the Workflow owner, it will not work in the context of the user who triggered it. If you want the task created by to be your colleague or current user, you have to convert  the workflow to Real-Time and set to to Run AS current user.

When you say it triggers sometime, do you see the workflow triggered? if you un-tick the Automatically delete log checkbox, for background workflow you should see the process sessions and it does not appear in there, it means workflow has not triggered at all

One other cause of workflow not triggering, is your user working offline in Dynamics 365 outlook client?
