UofM, Item Card, Decimals, Setup Advice Soap Powder

GP10SP5. Not using the Manufacturing Module so its not installed.

Never had to use decimals for items or UofM before so looking for advice on best way to setup.  Lets say I make soap powder. I use lye to make the soap powder.  I need to setup an item called Lye to be used in the making of soap powder.  Will be using  Inventory Bill of Materials. Depending on the batch  size we can use any combination of ounces: 1/2oz, 3/4oz, 1.5oz, etc..  On the item card there is a field for decimal places.  On the UofM schedule there is also a field for decimals. Must these match?

So do I need to:

setup an item card called LYE with 2 decimal places?

setup a UofM called LYE with 2 decimal places?

As for the UofM, the vendor only sells in full pounds, i.e. 2 pound bottles.(like sugar is only sold in 5lb bags) but the lye can be consumed in any combination of ounces, depending on the recipe.  So I don’t know what the smallest base unit should be set at.  I don’t what to have to enter all kinds of fractions of ounces.  So is the UofM used in consumption when we build the Bill of Materials?  In other words, I would have to setup every fraction of ounces we could possible use?  Always only had to deal with EACHes, decimals seems like a whole different ballgame…

    Hello Joe, 

    Starting with your first question, the decimals of both item card and its associated unit of measurement should absolutely match, otherwise, the system will not allow you to link them.

    Secondly, when setting up a unit of measurement for an item, you need to consider that this UOM shall be used across all functions applied on the item, such as receiving and assembly. 

    As for the number of decimals places to be used, it depends on the degree of accuracy that you can measure, for instance, if you purchase one kilo and 555 gram and you need to record them accordingly, you need to set the decimal places as three (1.555), with two decimals you will record only (1.55).

    In several implementations, I have used the kilo gram as the unit of measurement for raw material with "gram" as the base unit of measurement, this can ensure that you could enter any possible weight as pound, ounce ..etc. Therefore, you could consider that for the "Lye" raw material.  

    Please never hesitate to ask any associated question to ensure the accuracy of the setup, this is an important step.

    Hi Mahmoud, thanks for answering.  So if I use a very small uofm then all the built-in GP reports for that item will be in the base uofm? If I want to report say in a higher uofm, say OZs, I would have to build a custom report and do the conversion into OZ in that report.

    Of course not, within the unit of measurement, you may add as many levels as required taking into consideration that you need to provide the conversion rates within in order to be able to get reports at any chosen UOM level. Let me provide a simple example;

    Base UOM: Box

    On the grid, you need to provide the following; 

    Now if you assign the UOM above to an item (of course with 0 decimal places), you can enter transaction at any chosen UOM (box, case06 or case12) and view inquiry and reports at the above UOM since you have already provided the conversion rates within the levels of UOM.

    The same can be applied on your case with ounces, just ensure to apply the same scenario to get exactly what you need regarding your UOM.
