Hello all,
I am new to being a Dynamics Admin and I have been asked to see which reports from the tools section within the environment are being used and by whom so we can decommission anything that is no longer being used. I got an audit log started, but it's tracking every event and I don't know what to look for. Does anyone have an idea as to what transactions I would be looking for or how I would identify this activity? We are running Microsoft Dynamics 365 and I am working within the Sales Hub.

    Thanks for your question. To identify which reports are being used in Dynamics 365 and by whom, especially from the Tools section, you can approach this in a few ways:

     

    • Audit logs: While audit logs track a wide range of events, you’ll want to filter specifically for report execution events. Look for entries related to ReportExecution, ReportViewed, or similar keywords depending on your environment’s logging schema.

    • Telemetry via Power Platform Admin Center: If you're using Power Platform, you can access telemetry data that shows usage patterns, including report access. This can help identify frequency and user activity.

    • Custom logging or usage tracking: If built-in logs don’t provide enough detail, consider implementing a lightweight custom logging mechanism that records report access events, especially for critical or custom reports.

    • User feedback and access reviews: Sometimes combining log data with direct user feedback or periodic access reviews can help validate which reports are still relevant.

    Once you identify reports with little or no usage, you can plan decommissioning while ensuring no business-critical processes are affected.

    You can monitor the stats of usage from the Power Platform. https://admin.powerplatform.microsoft.com/
    Once you are in the Power Platform admin center , click on Manage>> Products >> choose any area to see the analytical stats
