Item texts in purchase requisitions and purchase orders

Hello everyone,

so my customer wants to be able to edit item texts inside the purchase requisition after selecting an item

Also currently when transfering a purchase requisition to a purchase order, the system puts both the product name and the item description in both fields of the purchase order (Name and Description). When it should transfer the product name and item description how it was in the purchase requisition

Does anybody know the possibilities here, I could not seem to find any solutions. Is there generally any item text setup in FO for purchase requisitions/orders?

Hi NaVo,

This is how standard functionality works. I understand it's not optimal in your case. If your customer wants to edit Item description they can use procurement categories instead or edit

You can check as per the following.

1) Capability of editing the item description in PR can be regulated by assigning appropriate role or privileges. You can try with below privileges if it helps to edit the item description provided that you already have appropriate roles assigned to that user who is preparing the PR.

-- Maintain purchase requisitions
-- Maintain purchase requisition lines

2) Once you edit the item description, same can be copied in the released PO from that PR. This you need to check what setup you have done in the purchasing policy.

Procurement and sourcing > Setup > Policies > Purchasing policies.

Under policy rule type "Purchase order creation and demand consolidation rule", create a rule first by clicking "Create policy rule" and then select the "Use the item description from the requisition line" option and save this record.

So when you release the PO from that PR, item description will carry same information what you mentioned in PR. You san check this by creating a new PR after doing this setup.

sorry for the late reply, I was on holiday.

Thanks for your help. I tried assigning a role with the the privileges you described, however that does not let me edit the item description.

Hi NaVo,

Have you checked the Purchasing Policy setup as mentioned above?

Please check this first and let us know if you have done same setup already.

Now even after this setup, still you are facing same issue; then for time being, you can assign "System administrator" role and then check if this issue is fixed. With 'System admin' role, if this issue is fixed, then we can specifically work on privilege which will fix this case.

Hello Sourav,

since I am a consultant, I always have administrator rights to begin with. I also used your policy setup, that does not affect the item texts inside a purchase requisition though. They remain to be uneditable.

Hi NaVo,

Thanks for the update.

Since you have already done with the purchasing policy, please try by resetting the usage data this time if it helps to fix this case.

If not, then please log a service request to Microsoft.

The reason why I am saying, I am currently having below with my system admin user id and not able to reproduce this issue. But in your case, system is not allowing even though you have admin id.

My roles assigned like;

-- Employee

-- System user

-- System administrator

-- "Person" is linked with my user id

-- My 'Reporting to' position is also defined in the "Positions" form in HR module.

I don't think any of these is missing in your case. But just have a re-look and do the reset usage data in "Users" form and update here if you are able to move forward..
