Transfering information between intercompany orders

Dear community,
 
I hope you can help me with the following topic:
 
In our company the process of sales goes as following. A sales order is created this is made into a purchase order through dropshipping. Afterwards this purchase order is send via a intercompany connection to our warehouse/production company.
 
My question is: Is there a way to send customized information in the sales order and that this information is transfered with the dropship/ intercompany order to the warehouse/production company?

    Hello,
     
    Yes, you can transfer customized information from a Sales Order to a Purchase Order and then through Intercompany in Business Central, but standard functionality only supports basic fields.
     
    For extra details like special instructions or custom codes, you can either use built-in features such as extended texts, comments, or dimensions, or implement a customization by adding custom fields and using event subscribers to copy them during drop shipment and include them in the Intercompany XML mapping.

    So firstly we would like to explore a build-in option. We have tried the following already:
     
    1. Extended texts --> These are removed/overridden with the transfer to a Purchase order
    2. Comments --> Comment lines are not allowed as a dropshipment in Business Central
     
    Dimensions we have not tested. How would this work? Also how do you see extended texts & comments working?

    Hi Joey,

    Can you clarify what exactly you mean by “customized information”?

    Dimensions can work as a built-in option if the data you want to send fits into dimension values.

    For example, you can assign Dimensions to the Sales Order Line, and these dimension values will flow automatically to the Purchase Order and then through the Intercompany process — as long as both companies share the same dimension setup.

    However, this only works if your “custom information” can be reasonably stored as a dimension value.

    Hello,
     
    Yes, you can send custom info through drop shipment + intercompany, but only if you add custom fields and mark them to flow through Intercompany. Standard BC does not transfer custom notes automatically.

    2. Refrigerated truck required
    3. Jumbo truck required
    4. Delivery ASAP

    Hi @Joey Portier,

    Thanks for the clarification.

    Yes — this type of information can be handled using Dimensions, but only if you’re comfortable defining them as fixed “codes” in your dimension setup.

    For example, you could create a Dimension called Logistics Requirement with values such as:

    • FORKLIFT
    • REFRIGERATED_TRUCK
    • JUMBO_TRUCK
    • DELIVERY_ASAP

    When you assign one of these Dimension Values on the Sales Order Line, it will automatically flow to the Purchase Order and then through the Intercompany process, as long as the receiving company has the same Dimension and Dimension Values set up.

     

    Pros of using Dimensions:

    • 100% standard functionality
    • Automatically transferred through Drop Shipment + Intercompany
    • No customization required

    Limitations:

    • You can only select one value per dimension per line
    • Information must be predefined (not free text)
    • Not suitable if you need multiple notes or a long description per line

    If your requirement is simply to indicate logistics instructions like the examples you shared, Dimensions can work very well.

    If you need more flexible or multiple instructions per line, then we would need to consider a small customization.
