Incorrect Posted Transfer Receipt Posting Date

Using BC 365 SaaS v26.1. Our key stakeholders apparently did not lock down the Posting Date To values in the GL, inventory, and user setups. So it's open-ended. One user incorrectly specified the Posting Date for a transfer order they were receiving. So it looks like below. What is the preferred method of remedying this, in terms of new documents, reversing entries, etc.? Also, is there a straightforward configuration method to just prevent someone from future dating posting dates as a whole?

    Hi Greg,

Please find my response based on my knowledge:-

How to Fix Incorrect Posting Date on a Transfer Order
    • You cannot edit the Posting Date after posting.
    • Standard options:
      • Post a reverse transfer (swap locations) with the correct date.
      • Then post a new correct transfer.
      • Use item reclassification if needed).

    Prevent Future-Dated Postings

    • Configure Allowed Posting Dates:
      • General Ledger Setup → Allowed Posting From / To (company-wide).
      • User Setup → Allowed Posting From / To (user-specific)

Using BC 365 SaaS v26.1, the recommended approach is:

    1. Correcting the incorrect posting:

Best practice is not to change posted entries directly.
    • For the transfer receipt, you should use standard reversal/correction processes:

      • If possible, use Undo Receipt (if the item has not yet been consumed or shipped).

      • Otherwise, post a return/transfer back to reverse the incorrect transaction, then re-post with the correct Posting Date.

    •

     2. Preventing future mistakes:

    • Configure Allowed Posting Dates in General Ledger Setup, Inventory Setup, and User Setup.

    • By doing this, you can:

      • Restrict posting to a controlled date range.

      • Prevent users from posting into unintended future periods.

Thanks for both of your responses. Appreciate for the tips regarding the allowed posting dates. That should help avoid pilot error moving forward for sure!

The Posted Transfer Receipt doesn't appear to have an Undo Receipt action. The other suggestion is I create a new Transfer Order, sending the item back to the original location, using the current date. And after posting that I then create another new Transfer Order, sending the item back to the true physical destination it's currently at, using the current date. Correct?

I'm just wondering how this will work if the item needs to go into a new sales order at the location that possesses it. Say it sells next week. The sales shipment will be in early September, but there is that Item Ledger Entry future-dated with that errant Posted Transfer Receipt. Guess I can test out in sandbox and see what happens!

I restored to a sandbox and ran through the recommended steps from Sumit. Everything appeared to work fine. For a test, the location that physically has the item was specified on a sales order. That likewise posted without issue. Still see the oddball item ledger entry for the previous botched transfer receipt, but otherwise no ill effects.

    Thanks all!

Just to add a bit of information, Microsoft has added an Undo feature for Transfer Shipments starting with BC22.
However, this isn't possible with Transfer Receipts because the Transfer Order has already been completed.
    Undo transfer shipments

You can only recreate a Transfer Order to transfer the wrong item back, and then transfer it again with the correct date.
As for restricting users from modifying the posting date, since there is no field-level permission control in the standard BC, this can only be done through customization.

    Thanks.
