Two step approval workflow

Hi all,

I'm trying to alter an existing Purchase Document workflow so there's a two step approval involved. Here's the steps I want it to follow:

1. Purchase Document sent for approval, status updated to 'Pending Approval'
2. Workflow User Group initiated, with one user set to sequence 1 and another set to sequence 2
3. User with sequence 1 receives approval request and accepts, document status still Pending Approval
4. User with sequence 2 then receives approval request and accepts
5. Document marked as Released

I'm struggling to action this, can anyone provide some assistance please? I have tried setting the 'On Condition' on the approval steps to the following:

And I'm finding that the document is being marked as Released when the approval is requested. What am I doing wrong here? Is the first When Event correct, or should I change this to the one that states "Purchase order status changed to "Pending Approval""?

Thanks for all your help in advance!

    Hi

It looks like you're on the right track with setting up a two-step approval workflow, but I see why the document is being marked as "Released" prematurely.

    Potential Issues and Fixes:

    1. "When Event" Selection:

      • Instead of triggering the workflow based on "Approval of a purchase document is requested", try using "Approval request is approved" for step-based control.
      • The event "Purchase order status changed to Pending Approval" could be an alternative trigger if you’re using a status change as a key condition.
    2. On Condition Filtering:

      • For Sequence 1 Approval:
        • Ensure the condition filters to Sequence No.: =1, Number of Approved Requests: =0
      • For Sequence 2 Approval:
        • Ensure the condition filters to Sequence No.: =2, Number of Approved Requests: >0
    3. "Then Response" Actions:

      • For Sequence 1:
        • Keep the document status as Pending Approval and add a restriction (as seen in your current setup).
      • For Sequence 2:
        • Remove the restriction only when the second approval is completed and then mark the document as Released.

Let me know if you need further clarification!

    Best,

For your scenario, you need to setup a workflow user group with two users one with sequence 1 and other with sequence 2 and use that in your worklfow, see below where you can setup that
