Issue with tracked emails

I was hoping someone here has had a similar experience and has a solution that might work for us.
Essentially at some point dynamics associated incorrect users to a certain email address, this means that once an email to that mailbox is tracked it often inserts these students names into the to or from depending.
We've discussed this with our dynamics partner and they were of the mind that we just had to manually remove the incorrect entries.
However this does not solve the problem of new emails getting these incorrect associations.

Does anyone know if there's any table or other way of accessing the correlations to break this association?

Any thoughts?

I do not know of a table that stores information on prior tracked emails. As far as I understand it, the tracking process is done when the message is received based on your settings.

You can check to see why an email was automatically tracked a certain way through fields on the email table: Specify which emails are automatically tracked - Power Platform | Microsoft Learn

I'm assuming you have fixed the records that had the wrong email address associated with them? Alternatively, have you reviewed the "Mailboxes" table in the email settings area to find the offending email addresses and check their associations?

    Hello JG-27030901-0,

You've hit upon a frustrating and complex issue with Dynamics 365's email correlation and incorrect user associations. This problem, where wrong users are attached to emails based on their email address, can indeed persist even after manually removing incorrect entries from individual emails.

Let's break down the problem and explore potential solutions:

    Understanding the Problem:

    • Email Correlation:

      • Dynamics 365 uses various methods to correlate emails with records, including:

        • Sender/Recipient Email Addresses: Matching email addresses to user/contact records.
        • Tracking Tokens: Unique identifiers added to email subjects.
        • In-Reply-To and References Headers: Linking related emails in a conversation.
        • Smart Matching: An algorithm that analyzes email content and headers to find matching records.

    • Incorrect Associations:

      • The system has likely created incorrect associations between the problematic email address and user records.
      • This association is stored somewhere in the database, causing new emails to be incorrectly linked.

    • Manual Removal Ineffectiveness:

      • Manually removing incorrect entries from individual emails only addresses the symptom, not the root cause.
      • The underlying association persists.

      •

    Potential Solutions and Troubleshooting:

    1. Check Email Address Mappings (SystemUser and Contact Entities):

      • SystemUser Entity:

        • Go to Settings > Security > Users.
        • Open each user record.
        • Check the "Primary Email" field and any other email address fields.
        • Look for the problematic email address associated with incorrect users.

      • Contact Entity:

        • Go to Sales > Contacts.
        • Open each contact record.
        • Check the "Email" field and any other email address fields.
        • Look for the problematic email address associated with incorrect contacts.

      • Remove Incorrect Mappings:

        • If you find the problematic email address associated with incorrect users or contacts, remove it.

    2. Check Email Server Profile and Mailboxes:

      • Email Server Profile:

        • Go to Settings > Email Configuration > Email Server Profiles.
        • Open the relevant Email Server Profile.
        • Check the configuration for any settings related to email address matching or correlation.

      • Mailboxes:

        • Go to Settings > Email Configuration > Mailboxes.
        • Open the mailbox associated with the problematic email address.
        • Check the "Owner" field and any other settings related to user association.

        •

    3. Check Personal Options (Users):

      • Personal Options:

        • Ask users to check their personal options for any settings related to email tracking or correlation.
        • Go to Settings > Personalization Settings.
        • Check the "Email" tab.

        •

    4. Check Smart Matching Settings:

      • Organization Settings:

        • Go to Settings > Administration > System Settings.
        • Go to the "Email" tab.
        • Review the "Use smart matching" settings.
        • Try disabling smart matching temporarily to see if it resolves the issue.

      • Caution: Disabling smart matching might affect other email tracking functionality.

      •

    5. Check Email Correlation Tables (Database Query - Advanced):

      • Caution: This requires direct database access and should only be done by experienced administrators or developers.

      • Database Query:

        • Run a SQL query against the Dynamics 365 database to identify tables related to email correlation.
        • Look for tables that store email address mappings or associations.
        • You might need to consult Microsoft documentation or support for the exact table names and schema.

      • Remove Incorrect Associations:

        • If you find incorrect associations, delete them from the database.

      • Warning: Modifying the database directly can lead to data corruption or system instability.

      •

    6. Contact Microsoft Support (Escalate):

      • Escalate Your Ticket:

        • Since your Dynamics partner couldn't resolve the issue, escalate your support ticket with Microsoft.
        • Provide them with detailed information about the problem and the troubleshooting steps you've taken.
        • Emphasize the persistence of the issue even after manual removal.

      • Specific Tables:

        • Ask them about the specific tables used for email correlation and how to clear incorrect associations.

        •

      •

    Key Recommendations:

    • Start with user and contact entity checks. This is the most likely source of the problem.
    • Check email server profiles and mailboxes. Ensure they are configured correctly.
    • Consider disabling smart matching temporarily. This can help isolate the issue.
    • Only use database queries as a last resort.
    • Escalate your support ticket with Microsoft.

    •

By systematically checking these areas, you should be able to identify the root cause of the incorrect email associations and implement a solution. Remember to thoroughly test any changes in a non-production environment.
