High Volume invoicing in SL

Evening all,

My company's Go Live date is quickly approaching and I'm beginning to panic. I understand why SL was chosen by my company. I work in AP and we can barely keep up with invoicing in Dynamics as it is. I can enter invoices in a matter of 20 seconds for a small invoice and maybe a minute for a multi-page invoice. After a brief preview of how SL operates,  I can only see invoicing taking twice as long to enter which is just going to back our work up. Especially when I have a one vendor whose invoices can be between 3-10 pages each and we get 10 to 20 invoices on this vendor alone per day! Daily average of invoices received daily from our vendors is around 100-150 per day. Overtime is not allowed. Only 1 person is dedicated to invoicing. Is my panic justified?

    Hi Stespin

    May be you need to use transaction import and application server to import invoices automatically by schedule. Try to look up around this forum about how to use those utilities.

    Please don't panic.

    I remember we did went live with Dynamics SL a couple of years ago, and yes AP invoicing became time consuming. In fact, this kind of scenario happens with any other ERP.

    Some tips to leverage your AP work.

    1. Take advantage of previously entered data through purchase orders. If you are entering an invoice that came from a PO, you can recall the PO data into the Receipt screen (040100).
    2. If the purchase doesn't come from a PO, you can still template the input. If your everyday vendor ships mostly the same items, and the only thing that changes are amounts and dates, you can have a pre-entered screen. Just input your regular invoice and right before posting click on the SL logo and choose "Templates". For instance, save your template as "Sam fish tanks" and you can recall it later for any invoice from Sam.
    3. Check out some third party SL addons that automate much of AP processing. Check for example http://www.boyerassoc.com/products-2/dynamics-sl/ and http://www.pn3solutions.com/ 
    4. As another poster said, you can do transaction import. If you can setup the vendor invoices as a csv file, the data can be imported into the invoice screen. This is a bit too technical, you should resource yourself to your IT team for this.

    Hi,

    I know that many others doesn't like this solution by the risk that the process avoid some SL validations, but in that scenario i prefer the sql way, I developed may store procedures that creates any kind of documents and batches on many SL screens, one of this creates documents on the 03.010.00 screen. The store procedure has all the validations that the screen do, but with the advantage that the process by invoice just takes seconds. I have deployed this store procedure with many customers without any problem.
