I need to know who last modified a job

We're currently running into an issue where jobs are being changed by a user or several users and they're being done incorrectly. No one is willing to admit that they are the culprit so I need to have a way to see who last changed the job data and what kind of change was made. How do I do this? Thanks!

    Hi Bill,

    What do you mean by a Job? Is this in the Manufacturing or Project Accounting module?

    You could investigae using Activity Tracking and see can you track the particular process. This will record the user who made the change.

    Hi Bill,

    If you are describing Jobs in the Manufacturing module, you can see BOM changes by running the Bill of Materials Smartlist.  There you will see a Revision Changed By field.  You can also see the last person that changed an MO by viewing the bottom of the Manufacturing Order Entry screen.

    If you are describing jobs in PA, unfortunately Project changes are not tracked in the Project Master.  In this case, you can use Ian's suggestion of utilizing Activity Tracking, although you can't track modifications to a Project or Contract.  Another option is to manage Project changes by using Change Order functionality.  Then the user will be forced to follow proper process for changes.

    Are you using a third party add-on to GP?  There is no built-in Job Cost functionality in GP.

    I had not realized that the WennSoft Job Cost add-in was inplace before you mentioned it, so yes I guess I am!

    OK!  Then I unfortunately can't help you with this one.  I recommend that you contact WennSoft directly.  This might be an easy question for them to answer.

    Actually, there is a Job Costing module in GP - it's part of the Manufacturing Suite.  However, Activity Tracking doesn't seem to track changes to the Job master files.  If you're using the GP Job Costing module, you might investigate Audit Trails, which is an add-on module to GP.

    If in fact you're using Wennsoft Job Cost, then yes, you'd need to contact Wennsoft as Janelle advised.

    I got an answer to the dilemna, didn't get to see who changed it but found out why it was. Hopefully this will help someone else in the future!

    When the “Close Jobs” window is opened (Microsoft Dynamics GP>Tools>Routines>Job Cost>Close Jobs), all of the jobs that show in the window as available to close are automatically marked as Inactive. This is done to prevent one user from linking a transaction to a job while another user is in the process of closing the same job. Once the Closed Jobs window closed, the jobs become Active again. It is possible to un-mark and re-mark the Inactive checkbox in Job Maintenance if the job was marked as Inactive because it was currently displayed in the Close Jobs window but we recommend not changing the job to Active manually as this may cause the job to become hung. To resolve this, be sure all users close out of the Close Jobs window and if someone had a Job Maintenance window open they should close and reopen it before making changes. In the case above, the user that reporting the jobs “randomly” being marked as Inactive was a different user than the user opening the Close Jobs window, so she was unaware that it was what was triggering her jobs to become Inactive.
