Change unit cost of item with ledger entries

Hi there


When I make changes to item unit cost in Item card excel, and publish it returns an error that item unit cost cannot  be changed due to the item having one or more ledger entries. I go to check ledger entries for this item and none of them are open.

Why is this, and how can this error be fixed?

    I assume you are trying to change unit cost for multiple items, however, you need to specify what costing methods the items use. You can change items using standard costing method manually either on the item card or Adjust Item Costs/Prices.

    For items using other costing methods, fifo, average, you need to use Revaluation Journal. Before running the journal, you need to run adjust cost item entries batch first, which needs to be run either automatically or regularly anyway.

    Use a process - Adjust Item cost/prices to change the Item cost. You can only adjust it via factor - so calculate the needed multiplier. Also don't forget to add filter to exact item You want to update ( or filter several if the adjustment factor is the same)

    You can check below 3 points:

    1. Check for closed or historical ledger entries: Even if there are no open ledger entries, it's possible that there are closed or historical entries associated with the item. These entries may still prevent changes to the item unit cost. Review the ledger entries thoroughly, including closed and historical entries, to ensure there are no transactions affecting the item.

    2. Verify transaction posting dates: Ledger entries are typically associated with transaction posting dates. Make sure to check the posting dates of the ledger entries to ensure they are not in the future or locked periods. If a ledger entry has a posting date that is in a locked period or in the future, it may prevent changes to the item unit cost.

    3. Consider other related transactions: Apart from ledger entries, there might be other transactions or records linked to the item that can restrict changes to the unit cost. For example, if the item is part of open sales orders, purchase orders, or production orders, these associated records may also impact the ability to modify the unit cost. Check for any pending transactions or related records that could be affecting the item.
