Hello everyone,

How do I hide sales transactions from other users.

I have five users and they enter the sales transactions from remotely, I created five users in gp and assign the role as branch, but the problem is they can view all the sales transcations of other from smartlist.

Is there any way to hide or restrict them.

Best Regards

    Hi,

Dynamics GP does not provide row level security EXCEPT GL account-level security. If all of the sales are booked to a single account, then account-level security will not work. Out of the box, you cannot limit what someone can see, if they have access to the window where all transactions can be viewed. Since this is an often requested, but not available, feature in native GP, let's hope there is an ISV with a product that will solve the problem.

    Kind regards,

    Leslie

This could only be done by customization, In fact I have done this kind of customization.- for one of my company client. They are not only restricting  document views on the basis of user branch but also restricting the operations they can do, like posting etc.

    So you need a 'customization'.

    Hi Mrabrar,

Please drop an email to discuss, if you want to address this by Custom solution.

Customization can be done through User Interface ?

there will be no change in user interface but through coding/scripting records will be restricted.

No Customisation in this sense is a software company writing some "bespoke" software to add into your Dynamics GP to make it behave like this for you.

I am thinking there may be many "touch points" that SOP documents can be seen through like lookups and smartlists that would need limiting to prevent users seeing transactions through a "backdoor".

yeah you are right Tim, there are many touch points, like lookup, gp standard lookup or smarlist lookups, what id user do 'Find' on lookup by entering valid invoice number but restricted to his/her branch? Browse buttons at the bottom of the window, what if user instead of selecting value from lookup will type in a field? : ) Then restrictions on inquiry window. etc

I may be completely off here, but it sounds like you may benefit from Multi-Entity Management from Binary Stream.  You can review the specs for SOP here:  http://binarystream.com/multi-entity-management-by-module/#sales-order-processing

    Heather,

Interesting idea! So, each of the branches would be treated as a separate 'company' in MEM. This may be the best answer yet. If it were me, I wouldn't want to turn to custom coding unless I absolutely had to.

    Hi,

As others have mentioned in the post, our Multi Entity Management (MEM) solution is great for being able to have different levels of security and restrictions for many different instances in your GP environment. Please contact me at peyton@binarystream.com and I'll be happy to give you some information on MEM and how it could help with resolve your problem.

    Kind regards,

    Peyton
