Password protecting purchase fields

Posted on by 3,125

Good day,

License = Microsoft Dynamics GP 2010 BE

Currently I'm waiting on news about the field level security but there are ways to password protect certain fields.

For example: if I want the sales clerks not to be able to modify prices or eliminate a document.

I can go to microsoft dynamics gp>tools>configuration> sales> sales order processing.

I can go to microsoft dynamics gp>tools>configuration> purchasing> purchasing order processing.

My question is there a way to assign a password for the financtial area or a similar option or just using purchasing the field level security?

Your best resource would be CustomerSource or PartnerSource (depending on if you are a customer or partner).  Search Audit Trails fact sheet or Electronic Signatures fact sheet.  They should return results, but let me know if you have difficulty finding the information.

    Take care,

    Good day Christina,

Thanks. Do you by any chance know of a site/blogs that contains educational information on the electronic signatures and audit trail codes modules.

    Thanks in advance.

As Leslie points out, in Financial you really are limited to the options of prohibiting the deletion of saved transactions, and the voiding/correcting of subsidiary transactions.

You may want to look in to the electronic signatures and audit trail codes modules, as those would assist you in tracking and requiring approval of certain activities (like voiding, deleting, etc).  This would provide a high level of detail, while Field Level Security would just provide password protection for the void/delete buttons if you wanted that.

    Take care,

    Christina

Did the option of not allowing the deletion of saved transactions help any?

    Good day Christina,

Basically every module of the financtial area can be voided or eliminated and the needed procedure is for the accountant to input a password if the transaction is voided or eliminated.

I have been seeing that we have several bathces open in transactions>financial >batches and the problem is I need to make sure that the accountanting department doesn't eliminate the files without the general accountant's conscent.

Additional inquiry is it normal for there to be 300 batches created automatically with PMTRX or I really have to check into the user that probably they are doing a wrong procedure.

     Thanks,

    Mayra

    Hi--

Unfortunately, the financial area (bank rec, GL) does not have a similar feature with passwords specifically.  Can you tell me what field(s) you are trying to control?

    Thanks,

    Christina
