2013 - List/Field to select specific ingredients

Within our Dynamics '13 we have a custom entity called "Ingredients". It is our hopes to use that entity for a location to put specific information about ingredients that we can build systems around. My salesman would like a field on the quote form to search and select an ingredient. 

We would like to be able to look at an ingredient and see what quote/opportunities/projects/etc. we have for that ingredient.

I have tried to use a sub-grid on the quote form as a way to search for the ingredients. However, when I apply the sub-grid to the form, it shows all ingredients. Not just the ones I have searched for and selected. Is there a way to build a field, either using a sub-grid or another way, to search the "Ingredient" custom entity for "X" ingredient and select it. All the while tying that quote/opportunity/project/etc. to that ingredient for future searching needs?

    My apologies for not being clear. 

    My company builds ingredient handling systems for companies. We have a custom entity for all the ingredients we've handled in the past and present. We would like a way to put a field on a form that the user can search that list of ingredients that is in the Ingredient's entity. 

    Right now I just have a field on the quote form for the user to enter whatever ingredient they want. But that field is not able to be searched for previous ingredients or searched for research sake. Nor is it tied to the Ingredient entity. 

    Is there a way to have a field that can search the Ingredients entity for X ingredient? All-the-while tying that quote/opportunity/project/etc. (which ever form that field is on) to the ingredient - for future searching needs?

    It appears that you have a free text field for ingredient. IF you want a field that you can search on and select a record then you need a Lookup field to Ingredient entity. When creating a field, select data type as 'lookup' and select Target entity to be the ingredient entity.

    Check if this is what you are looking for www.microsoft.com/.../how-inline-lookup-works.aspx

    Once you create this new field, you should also take care of moving data in the old field to the new one.

    That looks great! Will having that field searchable and ingredient selected, tie that quote/etc. to the ingredient if I look at it under the custom entity?

    When you create a lookup field, a relationship is created between quote and ingredient. Using this you will be able to associate an ingredient to a quote. This will enable you to view all the quotes related to an ingredient record.

    One more question - since my company could have multiple ingredients on one project is there any way to have a multi-select list for users to select multiple ingredients at once while maintaining that relationship between field on form to ingredient?

    Or will I have to create separate lookup fields for each ingredient in order to maintain that relationship?

    Glad it helped.

    If you are looking to select multiple ingredients in a project then you need to define N:N relationship between ingredients and projects. Once the N:N relationship is defined, you will be able to add an ingredients Subgrid on the Project form. A subgrid allows you to select multiple ingredient records in a project.

    You can add a project subgrid on the ingredient form to view all the projects in which that ingredient was used.

    I hate to resurrect this post - but I'm still struggling with something regarding this post. Let me lay out the scenario:

    Entities: Projects, Ingredients, Ingredient Parameter

    I have created a N:N relationship between those three entities. I have sub-grids on the project entity form to show the list of ingredients that are associated with that project. On the Ingredient form I have a sub-grid that shows projects associated with that ingredient. The only ingredients that I have in the Ingredient entity are ones that I have manually entered. Well, I have decades of ingredients and associated projects data in a excel spreadsheet from our old CRM-type program.

    Most projects have multiple ingredients associated with them. So, on any given project we could have 1-15 ingredients that we built a system for. The old database spreadsheet has a project number, account, customer, etc., information on it as well as the ingredient(s) conveyed. How can I import that spreadsheet with the ingredient information into the Projects "Ingredient" sub-grid? Or, the Ingredient in the Project form sub-grid? I know I can export the projects/ingredients out of the sub-grid but I don't see a way to import.

    Is there a way to import our past project -> ingredient spreadsheet info into CRM w/o manually adding each ingredient to each project? .... Like the Import Data function that is built into CRM?

    Hopefully that makes sense.
