Assigning a Workflow to an organization

Hi all,
I am desperately searching for the parameter to assign a Workflow (WF) to a specific organization but could not find it.
so  in this example many / most WF are "organization-wide" and only two assigned to a specific company.
Any idea?
Thank you in advance,
Kerstin

    Hello Lemanic!

In Dynamics 365 Supply Chain Management, the "Association" field in Procurement and sourcing workflows determines whether the workflow is available:

    •  Organization-wide – usable across all legal entities

    •  Company-specific  – usable only in that specific company

You cannot directly assign a company in the workflow configuration form itself — instead, you select the company contextually when creating the workflow. Here's how to do it:

    Step-by-step to create a company-specific workflow:

    1. Switch to the legal entity (company) where you want to configure the workflow (e.g., USMF)

    2. Navigate to: Procurement and sourcing > Setup > Procurement and sourcing workflows

    3. Click New to create a workflow: 4.  Configure the workflow as needed and activate it
    •  This workflow will automatically be associated with the current company

    •  In the "Association" column, you will see the company ID (e.g., "USMF")

    4. Configure the workflow as needed and activate it.

     For an organization-wide workflow:

    1. Perform the same steps, but from the "DAT" company (or another shared entity if available).

    2. The created workflow will be marked as "Organization-wide" in the Association column.

⚠️ You cannot change the association of a workflow after it's created. If you created it under the wrong company or scope, you’ll need to recreate it in the correct context.

Thanks Peter for the detailed answer.
And of course makes totally sense.
However, we are highly customized and we create the WF in the specific legal entity and not on DAT. Yet the WF is shared.

    Regarding the step "

    1. Perform the same steps, but from the "DAT" company (or another shared entity if available)."

    >> how/where do I see that a legal entity is being shared? Guess that might be the issue as we do a lot of intercompany and have many centralized processes.

    Thank you!

    BR Lemanic

    Thank you for additional details!

Which specific type of workflow are you trying to create?
Not all workflow types support being organization-wide.

For example, the following workflow types do support organization-wide association:

    • Purchase requisition workflow
    • Purchase requisition review
    But this one does not:
    • Purchase order workflow

In the screenshot, you can see examples of workflows created from the DAT company. One of them is associated with a specific legal entity, while the other is marked as organization-wide.

This behavior is determined automatically based on the workflow type, and you cannot manually change it.

    Hi Lemanic,
To associate a Procurement workflow to a Legal entity, you will have to create it from Procurement and Sourcing >Setup >Procurement and sourcing workflows, making sure you are in the legal entity you want.  It looks from your screen shot that you are looking at all workflows from System Administration >All workflow configuration, you can't do it from there.

Peter answers are correct.  In Procurement, the Organisation-wide (Global) are Purchase Requisition (and line) and Purchase Agreement. You can create these workflows in any Legal entity and, being organisation wide, they will be visible in others .  I see in you screen shot that you have several Workflow without names: i suggest that you add a Name in the Workflow Settings to be able to differentiate them.

The Purchase Order workflow is Legal entity specific.  The workflows visible in Legal Entity is that for the selected legal entity.  If you change company, the visible workflow is the one applicable for that selected legal entity.  If I want to share a Purchase Order workflow across legal entities, I would export the desired standard version and import it in the other legal entities.
