How Can I Stop Associating a Record with Another Record?

In my CRM, I have Accounts, and Account's Stores (Another Entity I built). I have account stores records associated with their account. However, I accidently associated/added some account stores to the wrong account. How can I stop associating these records?

    Hi Kimberly,

How are they connected, is there a lookup to Accounts on your Account Stores ?

If yes you should just go to your Account Stores record associated with the wrong account and either empty this lookup field, or change it to the correct Account.

If this is not the case, please explain how you associated them.

    Hope it helps,

    Hi,

If you are trying to prevent users in the future from associating the wrong records you can create a great team time workflow that checks the conditions and uses the stop as cancelled function to show a message to the user. See community.dynamics.com/.../using-workflows-to-validate-records-to-prevent-creates-updates-assign-and-deletes.aspx

    Hope this helps

    Hi Alexandre,

They are associated with a 1:M relationship. I have a sub grid added into each account where I put each account's stores. It was here that I stored a store wrong. I'm still not sure how to fix this. I've been using CRM for only a few months, so I'm still getting the hang of things!

Also, thanks Scot the for excellent tip!

    Hi Kimberly,

Please open your account where the wrong store has been associated. In the sub-grid, you will find this Store.

Please open from this grid the store that was misassociated (click the name, or double-click anywhere on the store line).

In the opened Store form, you should find a Lookup field (the one with a magnifier symbol) filled with your wrong Account name.

If you clear this lookup, then your store won't be associated anymore to the wrong Account and you will be able to associate it again with another Account.

If your Account lookup on the Store record is a required field, instead of just clearing the lookup, you will have to select the right Account to which this Store should be associated with instead.

    Hope it helps,

    Alexandre

    Hi Alexandre,

That's the thing. I click in my sub-grid, I go to the store account and I have no lookup on the page. Could it be looking these amounts up from a field that I don't have present in my form?

    Thanks as usual!

    Hi Kimberly,

Indeed, it looks like you just miss this lookup field in your form.

If you're system administrator, or at least system customizer, you'll be able to simply edit your form to add your field (or if it's already in but not visible, change its properties to visible for a short time).

If you don't have the privileges to edit a form, i'm affraid you'll have to reach out to your system administrator in order to ask him to correct the field value on your record.

    Hope it helps,

    Alexandre

Hi - For the last time, I promise! :)

I am our admin for our account. I starting thinking about everything you said Alexandre, and I went to add some fields back into my form - you were right - I had taken out a lookup field and just forgot about it. Anyway, the problem is fixed. Thanks so much for your help and patience!
