Document Attachment Error "The document is in use and could not be attached."

We just upgraded from GP 2013 to GP 2016 R2.  Users are reporting a new behavior/issue: Error "The document is in use and could not be attached." when attaching a document from a folder where the user doesn't have "Modify" permissions.  We know this is a new behavior since users have been attaching documents from the same folders for years.  

I have no option other than being less restrictive on user security - but that opens up other issues within the organization

Is this a bug?  New feature?  Anyone else notice this?

    We have just implemented GP 2016 R2 as well and have the same issue.  Any resolution without modifying permissions?

    Hi JHardy,

    Have you checked in your Document Attachment Setup (Administration >> Setup >> Company >> Document Attachment Setup) if the checkbox to delete the document after upload is checked ? This of course implies that the location (usually a network share) where documents are dropped in for attachment in GP, have Read & Write permissions to the users...

    I also strongly suggest to change the default max size from 999.9MB to something much smaller if you don't want your DB be overloaded accidentally by very large files.. 

    Once Documents have been uploaded into the GP company DB, the users can display them from any GP client, and the file will be downloaded into the local %temp% path of each user to be shown on screen..

    Hi jhardy,

    The user will get this message while attaching the file/document if the file is Read Only or the file is already open. If the file is a Notepad then it will not throw this error message.

    We just upgraded our customer from GP2013R2 to GP2016R2 and have the same issue.  However, users have full read/write/modify to the shared folder, they already have the setting to delete from default location after attach and the max file size is 999.99. 

    When they click the paperclip to attach and it opens their share, they have the window set to preview the file - always have - and it never stopped them before.  Now they receive this message, but if they click ok and double-click the file again to attach, it goes and original is deleted.  But they get this message each time.  They need preview on to validate the correct attachment is going on the payable.  They do hundreds of attachments each every day so then require this.  They want the message to not pop up and let them attach as usual.  This interferes very much with their daily data entry for a dozen or so AP users. 

    Any guidance is greatly appreciated!

    Just wanted to see if anyone has any ideas on this as they are all still troubled by this not letting them attach if the document is in preview.  They used to be able to in GP2013R2 in the same server/client environment.

    Hi Althea, since we upgraded from GP2015 to 2018 we are also having this issue! Our AP clerk previously would always have the files in preview mode while entering them into the Payables Transaction Entry, and they were able to attach while still previewing. Now they have to either make a copy of all the attachments, and attach the copy not the previewed version or use other workarounds. Also, sometimes even when the files are not in use or File Explorer is closed, we still cannot attach it! Very frustrating! Did you happen to find a solution for this??

    The customer did a direct incident with Microsoft so I am not sure how or if this is resolved.

    We just got on GP2018. I've checked all setups of the Attachments and they seem correct. We are using Citrix. The issue seems to be isolated to pdf documents on Citrix only. Anybody else has the same issue?

    We are having the same issue. we upgraded from GP2015 to GP2018 and now when attaching documents the preview window needs to be closed or else we receive the error "The document is in use and could not be attached."

    is there a fix for this yet?

    From what I can tell, the issue with the preview window needing to be closed before you can attach the document is 'by design' meaning there really isn't a fix set to be released for it.

    I would recommend adding this and/or voting on this as a Product Suggestion to get it changed in a future release of Dynamics GP:

    Are you sure this is "by design"?  being able to preview a document before attaching worked in GP2015.
