Sharepoint: Share Document Location between record

Posted on by 230

Hi,

We configured sharepoint (online) integration with our on-prem Dynamics CRM. All is working well. I just have a quick question. Is it possible to configure two records, even records from different entities,  to point to the same document location. The objective is to see the same documents, and upload to the same sharepoint location, from both records.

As David suggested you can change update the document location of two different records to point to the same.

You have to decide on when you want to do this.

Is it only for select records or all records of an entity. For example,  lets assume you configured document management for Lead and if you want the opportunity documents to be stored in the Leads folder, you could create a plugin OnCreate of opportunity to point to Lead document location.

If you only want for certain records, you could have a workflow, may be an on-demand one to update the document location

    Hope this helps

I believe this is possible, though I haven't tried it. The link is via a Document Location (sharepointdocumentlocation) record, which contains the url of the document location (absolute or relative), and the regardingobjectid that links to the CRM record. It should be possible to create 2 sharepointdocumentlocation records that point to the same url, but are linked to different CRM records.

It is possible that CRM has rules to prevent duplicate sharepointdocumentlocation records that point to the same url, though I doubt it. If so, you may be able to get around this by using the absolute url for one record, and the relative url for another
