AR REPORT

Why don't the accounts that are zeroed out disappear from the report? Everything has been posted and updated.

    Sarah,

    There are several situations that can leave a document on this report.  First, we need to know what type of document you are talking about.  Is it an invoice, a payment or what?  Next, we need to know if it on the report showing a zero balance or a balance.

    In advance of that information, here are some things to look for.

    If it is an invoice or debit memo showing with a balance but it has been paid, if the applied payment, or applied credit memo, has a posting period after the report's reporting period then it will show on this report because it was not technically closed until the period that the payment or credit memo was posted to.

    If it shows on the report with a zero balance then the most likely cause is that you applied the payment or credit memo in a payment application batch posted to a period beyond the report's posting period (regardless as to what the posting period of the payment or credit memo was).  In other words, you created a new payment application batch to apply the payment or credit memo.

    the period sensitive aging report has to re-invent the document balance as of the reporting period so it looks at the posting period of the applied payment and the posting period of when it was actually applied to determine the balance for that document as of that report's period (not report date but the period of the report).

    One way to narrow this down is to run the same report for the current AR period and see if the document falls off of that report.  If so, then the reason is one of the above.  If it does not then we have to look at the period closed value on the document to see if that is, somehow, a bogus period (e.g., you applied a credit memo in a separate payment application batch for which you accidentally entered a posting period way out in the future.

    Sarah, you need to be more specific. Which report are you running, and which format of that report?  If it is a Customer Trial Balance, and you select the Open Plus Current Period format, then you will get all Open documents, plus any other documents that were entered & closed in the current period.
