Duplicated Tasks in Outlook with same CRMID

(0) ShareShare

Posted on by

One of my users has noticed that sometimes they get Duplicate Tasks appear in Outlook.  The CRMID is identical and there is only one task created in CRM (as expected).

The tasks are identical in Outlook except the due time of the task.  For example the original task is for 8pm and the duplicate task is set to midnight.

This does not happen for all tasks.

Has anyone seen this or something similar before?

    Hi Richard,

We have the same issue with CRM 2013.

Have you found a solution for this?

    Thanks

    Bernd

there are a few causes for duplicates when using crm outlook

basically confusion with user profile. that is also common on Citrix or Terminal services or user manage to use another machine and the profile does not roam

good idea to enable duplication detection

I have the same situation in outlook , except it happens randomly for tasks and appointments and I get the exact identical duplicates sometimes up to 4 times!

After much research I have not found or come up with a solution to this yet.  I will look into the suggestion from Bruno, that this may be caused by not having a roaming profile or folder redirection enabled, when the user is logging in and out of multiple pc's.

So far I have just made up a process to help clear up the duplicates.  This assumes that CRM hold the master copy of your items:

    1. Backup your Outlook data into .csv and .pst files for future reference.

    2. Disable ALL of your CRM Outlook Filters. Make a note of any custom filters so you can recreate these at the end of the process.

    3. Do a Manual Sync with CRM (In Outlook go to File > CRM > Synchronize > Synchronize) and you should notice that tracked items are now removed.

    4. Add a new column in your Outlook views called crmid.

    5. Sort by the crmid and see if any tracked items left over. If there are delete them.

    6. Close Outlook and remove the two Outlook Sync tables (.sdf files) from: C:\Users\<user>\AppData\Roaming\Microsoft\MSCRM\Client

    7. Delete your CRM organization from the config wizard found in Start > All Programs > Microsoft Dynamics CRM 2011 > Configuration Wizard.

    8. Keep the wizard open and Reconfigure CRM to connect back to your organization

    9. Open Outlook and Enable All Outlook Filters. Recreate any custom filters from step 2.

After resynchronizing CRM with Outlook you should find that your CRM data is now back in Outlook and the duplicates have been removed.

If any data is missing, then it is highly probable that it was never tracked into CRM. Therefore you can refer back to your Outlook backup taken in step 1 and recreate any missing items. Once recreated do a manual sync and confirm the data shows in CRM.

    Other suggestions welcome
