Setting up Onboarding agent for new hires in D365F&O

The Onboarding Agent in is a newly introduced paradigm shifting mechanism, from Microsoft Teams, that guides new hires through their first‑day activities with a personalized, step‑by‑step experience. It delivers tailored tasks, essential resources, and support for entering employee details. By leveraging information gathered during recruitment and data extracted from uploaded documents, the agent minimizes manual entry and ensures a faster, more seamless onboarding journey.

This write up can help you in setting up the agentic solution, end-to-end, and what challenges you might face and their possible solutions.

Prerequisites 

We need to ascertain the following feature(s) is/are enabled in D365F&O, before we proceed:

  1. Versions applicable: Deploy a new sandbox environment, or upgrade an existing sandbox environment, to Dynamics 365 Human Resources version 10.0.48 or later with the latest quality update; however best if you already have 10.0.49 

  2. Don’t forget to click on the check for updates before proceeding:

  3. Ensure the following feature is enabled:

  4. Ensure that you have proper admin privileges in PPAC. In PPAC >> Your environment >> install the following app:

    Ensure you give the following security role to the correct user(s):

    Add people to add more user, as per your need. They are the ones who should use onboarding agent for new joiners.

Setting up the agent

Once the above homework is completed, let us go to D365F&O >> Human resources >> Setup >> HRM Parameters >> Agent tab >> Employee experience:

  1. Enable employee experience 

  2. Give a suitable welcoming experience for your new hires

 

For hiring manager >> visit the Manager experience tab >> turn on the Manager experience. Give a suitable value = Trigger lead days (it sets how many days on advance would the joiners be treated).

In the Maker's portal >> visit your environment >> go to solutions >> Managed >> and look for the ‘HcmAdminOnboardingAgent ’ solution:

Get into the solution >> Click on ‘Object’ mode >> and see the objects based on their group:

Filter by cloud flows >> 

For each of these flows, you need to open/edit them and change references and save them >> turn them on:

 

 

For example, the above flow, you need to check for all the references/missing references (if any) and select the proper connections and try to Save it. The trick is, you have to turn them ON, through the following sequence:

  1. AssignLeavePlanToWorker

  2. Compensation Assignment Subflow

  3. Compensation Assignment

  4. Daily Trigger

  5. HireCandidates

  6. Summary Flow

This will minimise the chances of parent/dependent workflow getting turned on before the independent one.

Once all the above actions are completed, go for Agents tab >> go ahead and publish it:

Select Channels tab and select your target channel to publish the agent (for ex: the Teams):

Ensure that you have the setting available on Microsoft Teams Admin Center:

And it started showing up in the Teams channel:

Once the app is published, all your org employees who can now use the app/install it in Teams too.
