A large, publicly held spinoff of a well known oil & gas company approached us to help them evaluate if Microsoft Dynamics GP could meet their corporate mandate to be independent of all systems formerly provided by the parent company. This was a complex challenge that involved the replacement of five major systems (and numerous sub-systems), and GP would not only have to meet the financial requirements, but also interface effectively with the other systems, and support Sarbanes-Oxley, SEC and Federal Energy Regulatory Commission (FERC) compliance.
The scope of the systems to be replaced by Dynamics GP include General Ledger, Financial Reporting, Procurement, Accounts Payable (with EFT and Positive Pay), Inventory Control, Sales Order Processing, Billing and Accounts Receivable, Project Accounting, Fixed Assets, and Budgeting. Key interfaces include banking, lockbox, an outsourced check/remittance advice processor, HR/PR, expense management and two new operational systems for the key lines of business. The system will support over 15 legal entities and complex intercompany transactions. For ease of use, this will be accomplished in a single database. Since many projects are capital projects, an interface is being developed to directly feed projects to fixed assets when the assets are placed in service.
The new system will have over 75 active GP users, plus potentially over 500 expense management and 700 requisition users. Users will be disbursed over multiple locations nationwide. In keeping with corporate IT standards, all integrations will be developed using Microsoft BizTalk technology.
During this past summer, we conducted a series of Joint Application Design/ Process Analysis workshops to understand how the organization operates and to evaluate whether Dynamics GP could meet the challenge. Upon completion of the assessment and proof of concept demonstration, the client concluded that Dynamics GP met the following key criteria and was a good fit for their business:
- Functionality – to meet the key business requirements out of the box
- Flexibility – to adapt the system to the nuances of the business
- Familiarity – MS Office 2007 user interface and integration
- Technology – to build integrations and customizations in compliance with corporate standards and leveraging existing IT investments
- Scalability – to meet current and future user counts and multi-site deployment
