Microsoft Dynamics CRM & Outlook Client Sync Settings

Organizations who utilize both Microsoft Dynamics CRM and the Outlook client often enjoy the synchronization of data between Dynamics CRM Contacts and Outlook People. There is a number of decisions that need to be made when configuring this feature.

  • Do all Dynamics CRM Outlook client users want to synchronize to CRM Contacts?
  • Do they want to see Contacts from the entire CRM organization?
  • Should Contacts be limited to only records they own?
  • Does a department or team share common Contacts?
  • Do individual CRM users want to pick and choose which contacts to synchronize?
  • Should some Outlook contacts remain private and not synchronize back to Dynamics CRM?

Often one Dynamics CRM organization may have answered “Yes” to many of these questions. The nice thing about the Outlook client is you can setup unique configurations based on the user.

In Outlook, click on File. In the blue area click CRM. Next click the drop down menu under the Synchronize button and choose Filters.

This section allows you to configure what data is automatically synchronized between Dynamics CRM and Outlook.

Double click on the “My Outlook Contacts”

By default the filter is set to synchronize Contacts the Dynamics CRM User owns.
