Working with Access Team and Sub Grid

This post will share with you for understanding about Access team and how to bring it to CRM form and sub grid. 

Why Sub-grid & Access Team?

Sub-grid

Working with other data in CRM form is almost common task, it is used to help user interact with other data in the same form without navigating to other page, hence, it is the reason that you should know and take advantage of sub-grid to bring other data to you CRM form.

Access Team

Access team is new feature of Microsoft Dynamic CRM, it help user to collaborate with other user. It is different form Team, the traditional team is defined by privilege of security role, it based on the owner of record while access team does not own record and does not have security roles go with Access Team, records are shared with an access team via granting the common privileges such as Read, Write, Append. Access Team Configuration Steps by Steps

Step 1: Enabling Access Team from OOB, open your solution, open entity which want to enable and scroll down to “communication & Collaboration“, then tick on “Access Team

Step 2: Creating the Access Team template via going back Setting, Select Security role and Click on Access Team template in browser.

How Access Team worked

Let’s consider this example situation, we have Event entity, and when we open the form, we need to know how many events of other users in the same business unit. 

Step 1: Open your solution, Open Event entity, open main form, insert sug-grid to main form and select Access Team Template

Add Sub-grid with Access Team Template

After adding this sub-grid, you can collaborate with records of crm user.

You should take attention to following notes for Access Team members.

  • User must be assigned share privilege to the record.
  • User must fully have for this record all the access rights that defined in the Access Team Template.
  • User must have at least User level access to all the privileges that Access Team template has.
