System Jobs & Bulk Deletion

System Jobs are the records that inform us about the status of execution. It usually resides inside your Dynamics CRM as long as you need it. But once we have the status & work is done, the record is no longer required. Usually, over a period, this consumes space & you may run with a shortage of storage.

To avoid this, we usually create a recurring bulk deletion job with following filter conditions

You can modify the conditions as per your need. Soon, you will notice a decrease in consumed space.

TIP – 

  1. Always do this in Workflows   undefined
  2. Monitor your PROD before scheduling this job to see when it is free to run this. A suggestion would be weekend early morning (as per client’s time zone)
  3. The first occurrence runs longer than the rest of the occurrence since it also needs to delete an initial load of data
  4. Must check system jobs randomly for Failure status reason to proactively check if any problem persists
