1. Tally Receiving

Lumber companies have a need to receive wood and plywood differently than any other stocked items: Industry term for this process is “Tally Receiving”. This document explains how we implemented “Tally Receiving “in Dynamics AX 2012 for a manufacturing company with wood products.

1.1. Tracking dimension group

The tracking dimension group Identifies if an item is a Lumber Tally, Tally with plywood or a simple batch controlled item.

  • Tally for Plywood – Check this for Plywood items, no thickness
  • Tally for Lumber – Check this for lumber items with thickness

1.2. Tally calculations

The tally quantity calculation formula is different for plywood and lumber:

  • Lumber Calculated quantity (1)is derived as the product of:
    • Number of Layers (2)
    • X Width (3)
    • X Length (4)
    • X Thickness on the Item master (as shown in Figure 13)
  • Plywood Calculated quantity (1) is derived as the product of
    • Number of layers (2) -counted as sheets but entered in the form by the Operator as No. of Layers
    • X Width (3)
    • X Length (4)
    • Divided by 12 to convert to Board feet.

1.3. Thickness on Item master

Thickness on the item master is required to be complete Tally Calculations for Lumber.  This is referenced in the Tally calculation in section 1.3.

1.4. Overview of Purchase Order Receipts Forms

Purchase order receiving screens were to be tailored for Operators and Supervisors.  The primary difference is that the Supervisor has the added ability to Close the receipt, i.e. post the receipt.

The bottom grid displays the lines being received.  In Figure 2 – PO Receipts – Line grid & tally views, outlined in red are the PO lines for the PO selected in the top grid.  For the selected line, if the item is a Tally item, the Tally box outlined in green is shown.

1.4.1. PO Receipts Operator Screen

Operators enter quantity information and then mark the receipt Ready for review – see Figure 3 – PO Receipts – Operator Screen.

1.4.2. PO Receipts Supervisor Screen

Supervisors have the ability to check the Close for receipt checkbox and click the Close receipt button – see Figure 4 – PO receipts – Supervisor screen with Close features highlighted.

Once receipts are closed by a Supervisor, they are available for matching during invoice entry in Accounts Payable.  If a line is not fully delivered and the Supervisor wants to close the purchase order line because no further receipts are expected, then the Supervisor can check the Close for receipt checkbox prior to clicking the Close receipt button.

 

1.4.3.      Supervisor posting receiving qty > vendor pack slip qty

In the Supervisor screen shown in Figure 5, if the Calculated quantity is less than the Vendor pack list quantity a  icon is displayed and when the Supervisor closes the receipt a Warning message dialog box as shown in Figure 6 is displayed to  make sure the variance is approved by the supervisor.
