Why is Cloud-Based CRM the Next Step?
If you are anything like us you love emerging technology and trends. You may already have a solid on-premise CRM in place that is fully functional and does most of what you would like it to. Aren’t you curious about what else is out there?
What could I do to improve our systems? How can I lower cost and conserve space? What is the next step I can take to keep my company moving forward instead of standing still? These are all questions most CEOs and CFOs ask themselves at one point or another. One of today’s answers is migrating to a cloud-based CRM system. Here we will take a look at some of the differences between implementation and upkeep of on-premise vs. cloud-based CRM systems and what you should take into consideration.
Location, Scalability, and Cost
One of the most upfront differences between cloud and on-premise is where your data is stored. With on-premise CRM you are required to have in-house servers to store your data. This generally results in a significantly large upfront CapEx and will cost you more over time. Want to add more space or users? You need more hardware, which takes up more room and adds to your ever-growing IT infrastructure which can cost you a ton in upkeep.
Cloud-based CRM systems are housed on remote servers and accessed through the internet. The hardware addition and upkeep are removed from the equation (handled by the provider). No need for an expensive and aging IT infrastructure. Cloud CRM also makes adding users a breeze. Just change your subscription level and set up the new user. No wires, no mess, no headache.
Centralized Data at Your Fingertips
How many times has an error been made because 2 employees are working on different versions of the same document? Now you need to spend time figuring out which file is current and where the mistake was made. This wastes time and, as the adage goes, time is money.
With a cloud-based CRM, all your data is in one place under your control. You can set what your employees see and what they don’t all while ensuring that files are housed and revised all in one location. This is the kind of streamlining that can save you time. Time that can now be used to make your current processes even better.
Security Concerns
One of the big talking points by Cloud Skeptics is the security of the cloud platforms. What happens if there is an outage? Well, that is very well possible. Any system, cloud or on-premise, can go out. The difference is the time it takes to get the system up and running again. This is all based on the company you use and their level of support. On-premises support could depend on the time it takes to book an appointment and get someone out to your location. The speed of the cloud solution depends on how quickly they identify the problem and apply a fix.
The other big question people often ask is “Where exactly is my data?” which can be hard to answer. Cloud data can be housed in one of several data centers depending on the provider you choose. This may not ring the praises of cloud solutions but you have to develop and build trust with your provider. Before choosing to go cloud ask questions. You can always get answers.
Is There A Middle Option?
The short answer is yes. There are hybrid solutions that use both cloud and in-house software and hardware to keep you up and running. This is a good option for people who need to run legacy systems for certain accounts or have custom programs that may not transfer easily to a cloud setting.
This is also a fantastic option for companies that may have a few stakeholders resistant to change. This way they can feel out a new system before a full commitment needs to be made. Remember, it can be easier to bring in a new system and learn before fully phasing out the old ways.
How Fast Should I Move?
This is the last big question. Should I make a move now? Should I wait until the systems are more “stable”? The best answer is: Do your research, ask questions, and gather information. Know exactly what you want and get the people who the switch will affect involved in the process.
These decisions are huge and you will want someone to work with you every step of the way. We want to help you in any way possible. Give us a call or fill out our contact form. We would love to work with you to make your visions reality.
