Going Paperless- The two best places to begin when you decide to “Go Paperless”

It’s a daunting task to remove the paper from your office. There are many different varieties of documents that need to be exchanged with many different people.  Where do you begin when going paperless? The best place to begin, and the place where you will receive the most benefit from doing so, is with documents that 1) have a very formal workflow to them, and 2) have an end destination in a digital form.  There are a couple of places in the accounting world that stand out as excellent starting places for a paperless process.

  1. Accounts Payable Invoices-
    1. These documents are primed to go “paperless” for many reasons. First, quite a few of them being their life as a PDF. Without a paperless process in place, you have to waste time and resources converting them into a paper form.
    2. Second, the formal “approval” processes associated with can receive a great boost in efficiency through a digital process. Paper documents can only be approved by the person holding the document, digital documents can be approved anywhere in the world.
    3. Finally, the end goal of AP invoices is your GP system, which has long since converted to a digital form. Having these documents, and their associated data, in a digital form means you do not need to convert them as a final step.
  2. Accounts Receivable Payments
    1. While this is not something normally thought about as a “paper based” process, receiving checks in the mail (and even credit card payments through many systems) is a labor intensive process of converting paper to digital.
    2. Payment receipts need to be formally routed to their corresponding invoices. If their data is in digital form, they can be pushed into your GP system without doing any manual assignment.
    3. Giving your clients a digital way to pay, whether that’s CC or ACH, increases your customer’s satisfaction while decreasing the amount of overhead for your AR staff. A true double win.
