Quick Tip: Save a Microsoft Dynamics CRM Report

Today, we’re going to share a tip with you on Reports, one of the quicker ways to analyze data in Microsoft Dynamics CRM Online. While you’re probably aware that you can run Reports on demand, or schedule Reports to run automatically using Workflows, you might not know that you can export a Report while viewing it. Several different file formats are available for export, including Acrobat (.pdf), Excel (.xls), and others.

Follow along below, and we will walk you through exporting a Microsoft Dynamics CRM Report.

Please note: A User with any default Security Role can run and save a Report in CRM Online. However, only data that the User is privileged to view will be included in the Report and the exported file.

Navigate to Workplace > My Work > Reports (see below) and open a Report, in our example “Accounts”.

The Report Viewer: Accounts window opens (see below) displaying a list of Report Filtering Criteria. We’ll use the existing criteria. Click Run Report.

The Report Viewer displays the generated Accounts Report (see below). Click the Export icon (a floppy disk with a green arrow) to open the list of available file formats. Select an option, in our example “Excel”.

The file is exported according to the settings of your web browser. You can now share this file using a variety of methods, including sending it by e-mail or storing it on a Microsoft Office SharePoint Server.
