Saving Queries in Microsoft Dynamics 365 Finance and Supply Chain Management
A very useful trick in Microsoft Dynamics 365 Finance and Supply Chain Management is saving a query.
You are likely all too familiar with this situation: you need to run a query with specific parameters, but you forget what they were from the last time you ran it. The solution is simple: you can create the query and then take advantage of the “Save As” function.
Throughout the system, you will see Options in the Action pane of each menu selection for each module. On the Options tab, we want to look for Page Options> Advanced filter or sort.
In this example I will navigate to General Ledger> Inquiries and reports> Voucher Transactions. For you to follow along, you can navigate to just about anywhere in the system and select Options> Page options> Advanced filter or sort.
If you use the standard blank query with no specific criteria you will obviously get a report that shows all transactions. From there, you may start to filter columns to find or extract the data you need. The point of this blog is to show how we can avoid the additional filtering or sorting.
When I select Voucher transactions, it opens a blank query form. For the untrained user, they can/will select ok to populate all transactions. However, this is our chance to pre-filter and/or sort the data we are interested in viewing.
Let’s look at how we can utilize our query to filter our data, and in turn save this query to be used again. For my example, I want to view all Tangible fixed assets (MainAccount – 180100), and I want to view all transactions for the past 5 years.
Example:
Main Account -180100 – Tangible fixed assets
Date range: January 1, 2020 to December 31, 2020 (1/1/2015..12/31/2020)
Once you have created the query, we can assign it a name and save it by clicking on the Modify> Save as. This allows you to recall this specific query anytime you need it without having to key in your criteria again.
In this instance I have saved the query as “5Yr Tangible Assets”.
Below is the result of the “5Yr Tangible Assets” query.
I have seen several good saved queries from clients using Dynamics 365 Finance and Supply Chain Management, for example: purchasing managers viewing specific on-hand inventory, accounting managers that process accounts payable from multiple bank accounts, or production managers that are only interested in specific production related activities.
