How to Import Excel Journals to Create Data Entry Efficiencies in NAV

The ability to import journals from Excel provides an easy and efficient way to undertake data entry in Microsoft Dynamics NAV.

You can take advantage of Excel features to prepare journals and use NAV standard functionality to transfer to NAV Journals for Print and “Post”.

You can import Excel Journals to NAV using 1. RapidStart Services and 2. Copying and pasting (Rows) functions in Microsoft Dynamics NAV.

Follow the following steps below:

RapidStart Services

Step 1 –

Setup a new ‘Configuration Package’ for the Journal Import. The ‘Table ID’ is 81 (Gen. Journal Line)

Step 2 –

Select the required Config. Package Fields.

Tick ‘Include Field’ to select a field.

Step 3 –

Export the Excel Template. Click on: Excel > Export to Excel

Step 4 –

Fill the Excel Template with the journal details. Save and Close the Excel template.

Step 5 –

Import the completed Excel Template. Click on: Excel > Import from Excel. The ‘No. of Package Records’ column will be display the number of records imported. Any errors will be displayed on ‘No. of Package Errors’ column.

Step 6 –

Apply Data. Click on: Function > Apply Data

This function will update the Journal in NAV.

Step 7 –

Go to Journal Window. Review the details imported. Print and Post.

Copy and Paste (Rows) functions in Microsoft Dynamics NAV

This function provides a quick way to import Excel Journal to NAV.

Step 1 –

Export Excel Template from NAV Journal window.

Click on ‘Microsoft Excel’ button on the Home ribbon to export the template.

Step 2 –

Fill in the Excel Template with the journal details.

Step 3 –

Copy the journal data items from the Excel Template.

Step 4 –

Open the NAV Journal window. The Journal Batch needs to be empty. Right Click on the 1st line and select ‘Paste Rows’.
