Mass Delete Old Email Attachments In Dynamics CRM

Community Member Profile Picture Community Member

If you are a Dynamics CRM Administrator, I’m sure some of you have run into an issue where your CRM users are sending out a significant amount of emails and tracking them through Microsoft Dynamics CRM.

You may see an issue though, where those old emails are taking up a ton of storage space, but you can’t delete those emails and lose the tracking information. Many of those emails may have large attachments, but no fear, we can do a mass delete of email attachments through a Ledgeview Partners’ customization!

Out-of-the-box Microsoft Dynamics CRM has no way of mass deleting email attachments, however, Ledgeview Partners, a Microsoft Gold CRM Partner developed a solution that can.

Here is how you could use this customization:

1. Open Advanced Find

2. Look for Email Messages

Email Delete 1

3. Select the related entity Attachments (Item)

Email Delete 2

4. Choose File Size (Bytes) Is Greater Than or Equal To the size of your choosing (100,000 bytes in this case)

Note: 100000 Bytes = 100 Kilobytes = Approximately the size of a document with many pages or a few images. In this case, it is the smallest attachment that we think justifies email deletion.

5. Click Results

6. Select the Results and click Delete Email

Its a simple process for all your users once the customization is complete.

If interested in this customization from Ledgeview Partners for your Microsoft Dynamics CRM platform or if you have a question about any other potential customization be sure to contact us and we will be happy to discuss options and solutions.
