Microsoft Dynamics GP 2013 R2 comes with a new feature that allows you to copy a journal entry from Excel and paste it directly into Dynamics GP journal entry window. Here is the required layout for the Excel file, with a circle around the area that you would highlight:
To open the journal entry window in Dynamics GP, go to Financial > Transaction > General:
Just click the Paste button and the Journal Entry information will appear in the window as follows:
A common question from users that currently use Integration Manager is “Why would I continue to use Integration Manager when I can just use the new R2 copy/paste feature?” Here are the differences: copy/paste allows you to create one journal entry at a time, and Integration Manager will allow you to import multiple journal entries in a single upload. When using copy/paste, the user will need to enter the Batch ID, Date, and Reference in the header section of the window, where using Integration Manager these fields can be automatically uploaded. Those are the differences. Both methods serve their respective purposes and are great tools for Accountants to import Journal Entries that have first been created in Excel.
On a side note, you may have noticed my Journal Entry window above doesn’t look like the standard Journal Entry window that comes with Dynamics GP. Both the standard window and my modified window contain the copy/paste feature. Using the GP Modifier, I modified the Journal Entry window by moving the Account Description and Distribution Reference fields to the same line as the Account Number and Amounts fields. I also made the window a bit taller. These modifications are very easy to create and makes the Journal Entry window more user friendly.
