How to Quickly Assign Permissions to All Users in Dynamics CRM
Security roles in Microsoft Dynamics CRM control what data users can access and which actions they can perform on that data. An individual user can be assigned multiple roles. That allows administrators to define security roles that can contain very granular levels of privilege.
There are certain instances where Administrators want to give all users in the system access to something; say everyone needs ‘Read’ access on a new custom entity that was created in the system.
One way to tackle this would be to modify each security role that is being used and add the permission. This works, but could be quite tedious if you have a lot of different roles.
Another handy feature is that a team can be assigned a security role which results in all team members getting the greatest level of privilege as a result of combining their individual roles and team roles. Once again you could go through and modify all the roles assigned to the different teams and add the new privilege. Also consider with this approach you will have to remember to add any new users to one of these teams after they are created. Still a bit of a hassle.
There is a shortcut to allow you to only modify one role and have it apply to all current and future system users. By default there is a team created that contains all users in the system and is automatically updated as new users are added.
The name should be the same as your system’s CRM organization name.
Once you’ve located the default team you can create a new security role, you could call it something like ‘All Users’ and give it the permissions you’d like each user in the system to have. Once complete you can assign that role to the default team.
Once applied all users in the system should inherit any new permissions you have set.
