Apps in Dynamics 365

If you have been poking around the newest features of Dynamics 365 like I have, you may have noticed a new feature under Settings called “My Apps”. Previously, we had to resort to using the Site Map editor to manage the user experience in CRM, where Security Roles did not suffice. The challenge with this approach was that the Site Map was shared across the entire organization, so if we hid or removed a tile, it was gone for all users. In addition, the Site Map changes were sometimes difficult to restore after tiles were removed.

Now, thanks to the new My Apps feature, we can create a new App that is saved alongside our PowerApps in the Dynamics365 portal. An App allows a CRM Admin to create a custom user experience for a specific group of users without affecting the rest of the user base. Site Map Tiles can be added to an App and organized with the following items under each Site Map Tile:

  • Entities – Individual entities can be added. Validating the App will check to make sure dependencies are considered.
    • Forms (All forms or individually selected by entity)
    • Views (All views or individually selected by entity)
    • Charts (All charts or individually selected by entity)
  • Dashboards can be selected individually. Validating the app will check for dependencies.

Note the second Dynamics365 icon called “Lead Entry” in the portal screen below.

Creating a new app is easy and very flexible from Settings | Apps in CRM.

Clicking on the + button will open a new window with the App Designer.

It is important to click Validate after you save so you can see any errors that may prevent you from publishing.

Once an app is created and published, an admin can manage which CRM Security Roles have access to an App by clicking on the ellipsis and choosing “Manage Roles”.

It is recommended that you publish all customizations and have users refresh their browsers after making changes to Apps.
