Using Field Level Security in Dynamics CRM to Lock Down Data
CRM is an amazing tool that helps companies capture and learn a lot about their customers so they can effectively market and sell to them but also provide ongoing customer service and support.
Field level security in CRM lets you dictate which fields users can view or edit. If you want to prevent users from (accidentally) changing data like an account name, account number or status, enabling or disabling field security for a field can give them read only access to these specific fields.
If you are capturing and storing sensitive information like social security numbers in Microsoft Dynamics CRM you can also use field level security to lock down this information and only make this data accessible to users/groups with specific permissions.
Your Dynamics CRM System Administrator can set this up in five easy steps.
- To complete this setup you need to Enable the Field Security on the field designer form. Complete this step for any field you want to control access. By selecting Enable, no one except the system admin is able to view the field.
- Once that is complete you need to create a security profile so that specific users/teams can view and edit this field. Go into the Field Security Profile component.
- Create a new Field Security Profile for the applicable group and add the users/teams who should have access to this field.
- Go to the Field Permissions Page, select the social security number line and click Edit
- Modify the Security so that the user has complete access. Save all changes.
