Hello everyone,
 
For our dynamics F&O (or AX) application (prod envionment) we have a background "Financial Analytical table workspace-Analytics" process consuming quickly the file storage that we have with Microsoft.
 
We somehow deductedd that it was linked to the "business performance analystics" application that was unwillingly added not so long ago.
Apparently an application that transform raw data into "copied" processed data so we can use it in a structured way from our datalake.
But well we don't have any need for transformed data now, what we need though, is to not reach the file storage threshold.
 
My question here is twofold:
- How do we stop this process? we keep on deleting the application in Prod and it keeps coming back
- How do we delete that transformed data that was generated? we don't have any need for it but we struggle to see where it is stored

    This happens due to the BPA logs. At the moment, you have to raise a MS Support request for those to be cleaned or reduced in size.
    I also went through one incident where we decided to uninstall the BPA completely from one of the test systems, as we had many test systems and decided not to have BPA on every test system.
    Please raise a support request with Microsoft.

    The suggested answer here is getting linked by Copilot as a potential solution and I believe it is based on some LLM hallucination. Can anyone confirm that these steps listed are correct for cleanup? I cannot seem to find any of the recommended license/batch jobs, the data is not in dataverse tables, and the BPA storage is not directly accessible via any data lake storage access, as it is 'black boxed' in the environment's File Storage area. According to Business performance analytics FAQ - Finance | Dynamics 365 | Microsoft Learn it seems like you may need to follow an uninstall script and then still may need MS support to aid with cleanup.
     

    Why does Business performance analytics’ managed data lake storage keep growing, and how is it cleaned up?

    Each time Business performance analytics refreshes, your source data are transformed into files in the Dataverse managed data lake without immediately deleting prior files. Older files are purged automatically after 30 days or earlier if usage hits 50 percent. In earlier releases, staging-table references sometimes blocked file deletion, so transform outputs accumulated until Microsoft engineers manually cleaned up every two weeks. As of the January 2025 update (v2.0.29241185+), those dependencies are removed and added a three day retention policy via the autocleanup flight flag, which regularly clears out old files and dramatically reduces manual intervention.

     Important

    Customers affected by storage capacity growth after updating to Business performance analytics version 2.0.29241185 or later should contact support and request to enable the temporary files cleanup routine for their environment.

      • If stored in Dataverse, use Advanced Find or XRM Toolbox to locate and delete unnecessary records.
      • If stored in Azure Data Lake, access the storage account and manually delete the processed datasets.
    3. Disable Data Processing:
      • If you do not need transformed data, disable the Entity Analytics Config settings to prevent further data generation.
