There is an option in the Notification setup to send a note for approval notifications, rather than an email.  Does anyone know if there is a further setup required? Or even where this Note should appear. As whatever I do, nothing appears to be showing.

    To enable approval notifications as internal notes instead of emails in Dynamics 365 Business Central, you need to configure the Notification Method to "Note" in the Approval User Setup, ensure the Notification Schedule is set appropriately (e.g., instantly), and confirm that the Job Queue responsible for workflow notifications is running correctly.
     
    These notes typically appear in the user's Role Center or My Notifications pane, but if they don’t show up, it may be due to missing workflow responses, inactive job queues, or incorrect user setup.

    Yes have all that set. The job queue is I believe, automatically triggered by the workflows request., Our emails are sending correctly, but the note option does not show.

    Setting up the Notification Method as Note simply means that the system will add an entry in the Notes factbox. If you check, you should see several entries here in your documents/journals. 
     
     
    It does not create notifications in the Notifications icon in the App Bar or on the Role Center. Any replies claiming otherwise are AI-generated and completely incorrect, you can ignore them.

    Hello,
     
    When using “Note” for workflow notifications, messages appear in the notification bell in Business Central — not email.
    Ensure the workflow job queue is running so notes are delivered.

    What “Note” does
    • It doesn’t send an email or pop-up.
    • It adds a Note on the document. You see it in the Notes FactBox on that page.
    Why nothing shows
    • The Notes FactBox is probably hidden.
    Fix in 3 quick steps
    1. Open the document (e.g., PO).
    2. Personalize → FactBoxes → show “Notes.”
    3. Send something for approval, then reopen the doc—your workflow note should be sitting in Notes.
    Also check
    • You’re actually the approver/recipient in the workflow.
    • The workflow response includes Create Notification.
    Want a bell notification instead?
    Use method “Notification” (in-app) rather than “Note.”

    Hi,

    The “Note” option in the Workflow Notification Setup can be confusing because it doesn’t behave like email or system alerts. Instead of appearing in the notification bell or inbox, it adds a note directly to the relevant document (e.g., purchase order, sales invoice, etc.).

    Here’s how to make sure it works:

    • Workflow Configuration
      • In your workflow definition, make sure the response includes a notification step with Notification Type = Approval and Notification Method = Note.
      • This step should be tied to a valid workflow event, such as “Approval Requested” or “Approval Completed.”
         
    • Notification Schedule Setup
      • On the Workflow Notification Setup page, confirm that the user has a schedule defined.
      • For “Note” notifications, the schedule should be set to Instantly or a defined interval.
      • If no schedule is set, the note won’t be created.
         
    • Job Queue Activation
      • Workflow notifications are processed via job queues.
      • Go to Job Queue Entries and confirm that the job for workflow notifications is active and set to run automatically.
      • If the job queue isn’t running, notes won’t be generated even if everything else is configured correctly.
         
    • Where the Note Appears
      • The note is added to the Notes FactBox on the document page (e.g., Purchase Order, Sales Invoice).
      • You may need to customize the page layout to make the Notes FactBox visible.
      • It does not appear in the notification bell or top bar alerts.

    • Known Limitations
      • Notes may take a few minutes to appear, even if the schedule is set to “Instantly.”
      • The feature is less visible than email notifications, and many users overlook the Notes FactBox entirely.
      • If you need more visibility, consider switching to email or integrating with Power Automate for Teams alerts.

    There seems to be some confusion amongst all of us, as to how this works. Some people think the Notes section, some people think the notifications., which is what seems the logical place. However, I still have my doubts as to where this even works, as we have all the settings correct, and still nothing. Email though works perfectly.

    There’s no confusion.
     
    Some users are claiming these appear under the bell icon because AI is generating their answers and hallucinating.
     
    A few even edited their posts afterward to hide that they originally said these appear under the bell icon. They’re completely wrong, these appear under the Notes FactBox, 100%. You can confirm this by searching the forum for previous threads where the same question was asked.
     
    If you don’t see them there, post screenshots of your setup. Something must be wrong with your setup.
