Reconcile to GL Excel Utility? (Same like GP)

Hello,

Microsoft Dynamics 365 Business Central does have an "Reconcile to GL" automated Excel-generating routine identical to the one in Microsoft Dynamics GP

If not then is it possible to create alert when my sub modules is not matching with my GL?

    There isn't an exact equivalent of that report. But a few things you do in BC that can help reconcile.

    In your GL Account setup make sure Direct Posting is disabled on subledger accounts. This means you literally cannot post to this GL Account unless its through a different module via a posting group:

     

    You can then do a manual compare between the GL Account and your subledger pages/reports such as the Customer GL accounts and the Customer Ledger Entries and/or Aged AR.

     

    A lot of clients I work with also simply just build a report in Power BI or another reporting tool to show that info. You can use some of the microsoft standard Power BI reports as a starting point too, as these can show subledger amounts: Finance Power BI app - Business Central | Microsoft Learn

     

    You could also build a power automate routine to monitor those balances but that would have to be developed.

     

    I'm also not associated with these guys but have deployed their apps before and they have a simple Balance Check dashboard: RUX Financial Dashboard | RUX:

    Hi Sandip,

     

    I second Teagan's post above, but I'll add that the closest match to GP's Excel utility is Velixo. Full disclosure, I recently joined them to help make life easier for fellow Finance team members like yourself.

    I too experienced frustrations with limitations from BC and when I stumbled upon Velixo I wanted to spread the word.


    If you want something closer to what GP gave you (a refreshable Excel workbook comparing GL to sub ledger balances), the Velixo add-in for Business Central is worth a look. It pulls live GL and sub-ledger data (AP, AR, bank, dimensions, etc.) straight into Excel formulas, so you can build a reconciliation template once, with GL balance next to sub-ledger balance and a variance column, and just refresh it each period rather than regenerating anything. You could pair the variance column with conditional formatting to flag mismatches at a glance.

     

    You can even use Claude alongside Velixo to build this out. Claude can write the Velixo formula structure and the workbook layout for you, based on what accounts and sub-ledgers you describe, so you're not starting from a blank sheet. It's a decent shortcut for getting the reconciliation template built without knowing every Velixo function off the top of your head.

    Personally, I believe this can only be achieved through customization. You can create a Codeunit or a Report, schedule it to run daily via the Job Queue, and have it send you an email notification if any issues are detected.

    Hi Sandip, no, there is nothing identical to the GP Reconcile to GL that builds the workbook for you. BC gives you separate reports instead. Reconcile Cust. and Vend. Accs. covers receivables and payables against their G/L accounts, and for stock there is Inventory - G/L Reconciliation. Search both in Tell Me. They open in Excel fine, but it's per area, not one routine over everything.

    For the alert, what do you need  is a small codeunit that sums the ledger entries and reads the G/L balance for the same accounts and period, then mails someone if the difference isn't zero. Put it on a job queue entry overnight and you have your alert. It's not much code.

    Hi,

    As they mentioned, there is no standard functionality that fully covers this scenario. 

    However, based on my experience as a consultant, this is a common concern among customers coming from more basic accounting systems (at least in Spain), although it is usually not an issue in Business Central.

    I always emphasize to users that whenever there is a related entity (customer, vendor, bank account, etc.), they should always use that entity and never post directly to the corresponding G/L account. 

    In addition, I always make sure they understand the importance of disabling Direct Posting on any G/L accounts that are used in posting groups.

    If you disable direct posting to control accounts, then reconciliation should not be required.

    Hello Sandip,

    Business Central does not have one standard “Reconcile to GL” utility identical to Dynamics GP that automatically matches all subledger transactions and generates the same reconciliation Excel workbook; instead, reconciliation is handled by area—for example, Reconcile Cust. and Vend. Accs. compares AR/AP subledgers with their G/L control accounts and highlights differences, while Inventory - G/L Reconciliation compares Value Entries with G/L Entries, shows the difference, and provides warnings/drill-down; bank accounts have their own reconciliation functionality. If you need a single automated control across multiple submodules, this can definitely be customized: create an AL routine that periodically compares each subledger balance with its corresponding G/L accounts, run it through Job Queue, and when a difference is detected generate a notification/email/Teams alert (for example through Power Automate); you could also generate an Excel reconciliation report if you want something closer to the GP experience.
