How to post maintenance and fleet cost of a vehicle (FA) to a project?

Hi All,
I have vehicles that I own and lease. These vehicles are listed as fixed assets.  I need;
1. the ability to post the maintenance cost and fleet cost of these vehicles to the project (project accounting).  Basically, I need to pass these cost to the projects because I assigned these vehicles to work on the field for these projects..
Issue:  I can't link the FA to the Fixed Price project in the PMA module.

Alternatively, I'm thinking in the PMA module, I create a PO to purchase the maintenance cost using procurement category.  Then this cost will post to the project.  Then I want this cost to add to the FA as FA addition.  Why is this Fixed asset number field inactive? Where do I turn it on?

2.  I need the ability to run a report to give me the total cost of the FA (depreciation + maintenance + fleet)

I appreciate any thoughts/solutions to the 2 points above.

Hello Dear, you can't achieve this in this way.

PO can't be linked to FA if it's linked with Project.

so, you have to post all the cost to the FA and do that by enabling in parameters of FA for Multiple Acquisition.

Now, if you want to post the cost to the project open those FA in HR as an Employee and book timesheet for them using Timesheet or Hour journal, you can calculate per Hour depreciation rate.

However you can also post all this cost into one single Cost project and then allocate to projects based on revenue

    Accumulated Dep CR
         DEP EXP DR

    -----------------
    Project cost DR

You can create Custom Report in Management reporter for FA by using transaction type as attribute of Journals

The reason you can't link a Fixed Asset directly to a Project PO is that Dynamics 365 forces a choice between a project expense or an asset acquisition to avoid double-accounting, and you can usually only toggle that Fixed asset number field on by enabling "Allow asset acquisition from Purchasing" in the Fixed assets parameters (provided the PO line isn't already locked to a project). To bypass this and get your total cost reporting, the cleanest "human" workaround is to skip the direct link and instead use a Financial Dimension (like a "Vehicle ID") tagged to every transaction; if you tag your Depreciation, Maintenance POs, and Fleet costs with that same ID, you can simply run a Financial Statement or Trial Balance filtered by that dimension  SurgeCardinfo.com to see the total cost of ownership in one place.

    Hi,

You can create an investment project and capitalize costs. Once the project is complete, you can copy the costs as acquisition value on an asset.
You can watch a video to learn about this feature: Capitalized Project into Fixed Asset in Dynamics 365 for Finance and Operations | Sikich

Thanks, CU16030901-0 for your response.  Are you talking about the actual financial dimension (screenshot 1) or the Financial Tag (screenshot 2)?.

    Hello,

The Lease module in D365FO is dedicated to lease accounting and does not allow linking a fixed asset to a project. You can at maximum capitalize (see this article: https://dax365fo.org/2024/03/05/project-investment-to-fixed-assets-journal/).

If you are at the exploration stage, you can try using and evaluate the Lease module. Otherwise, if for some good reason you decide to leverage the projects, the collect costs can be record into a clearing account. Then periodically write-off (from the GL) the clearing account to absorb those costs directly into the fixed asset.

    Thank you,
    Giorgio
