We have a Business Central scenario where a Purchase Order needs to be corrected, but one of its purchase lines is linked to a Sales Order that has already been posted/completed.
Scenario
Purchase Order currently has:
| Line | Sales Order | Current Amount | Correct Amount | Difference |
|---|
| 10000 – Items | O026965 | $318,466.67 | $281,266.67 | -$37,200.00 |
| 50000 – Freight | — | $45,277.50 | $26,317.50 | -$18,960.00 |
| Total | | $363,744.17 | $307,584.17 | -$56,160.00 |
The vendor, has provided final invoices totaling $307,584.17, so the PO needs to be reduced by $56,160.00 before Accounting can process the final invoice/payment.
The important part is that PO Line 10000 is linked to Sales Order through the Sales Order No. field. Sales Order was already posted/completed on 3/26, and users are unable to modify the linked PO line.
The freight line (50000) has no Sales Order link and appears to be independently editable.
What we are trying to determine
What is the recommended standard Business Central approach for correcting Purchase Order while keeping all Item Ledger Entries, Value Entries, G/L Entries, and Vendor Ledger Entries correct?
Specifically:
- Should the completed/posted Sales Order be temporarily reopened/reactivated to allow the PO line to be corrected?
- Or is there a standard way to correct the linked Purchase Line without reopening/changing the historical Sales Order?
- What approach would you recommend to preserve the audit trail and ensure that the existing posted Sales Order and its related ledger entries remain correct?
We want to avoid directly modifying posted ledger entries or using database-level changes. The goal is to resolve this specific case correctly and ideally identify the appropriate design to prevent similar situations in the future.
Any guidance from someone familiar with Sales/Purchase Order linking, drop shipments/special orders, or Business Central posting behavior would be greatly appreciated.
